General Description:
The Facilities Supervisor supports the Facilities Manager in the day-to-day coordination of facility operations, maintenance, and repair activities. This role provides direct supervision to Facilities Maintainers, ensuring that preventive and corrective maintenance tasks are completed safely, efficiently, and in compliance with established procedures. The Facilities Supervisor serves as a working lead, supporting both hands-on maintenance and administrative oversight while assisting the Facilities Manager with implementing system-wide programs, managing subcontracted services, and ensuring operational readiness across facilities.
Responsibilities/Essential Functions:
Pre-Operational Phase (if applicable):
- Assist in the development and implementation of facilities maintenance procedures, schedules, and documentation.
- Support preparation and organization of manuals, materials, and records needed for asset management systems (e.g., Trapeze EAM).
- Participate in facility handovers from contractors, including inspections and documentation.
- Provide input into the procurement of tools, equipment, and maintenance supplies.
Operational Phase:
- Supervise Facilities Maintenance staff, perform daily safety briefings, assigning daily tasks, monitoring performance, and ensuring completion of preventive and corrective maintenance activities.
- Conduct inspections of stations, buildings, and grounds to ensure cleanliness, safety, and compliance with standards.
- Support the Facilities Manager in overseeing subcontracted services (e.g., cleaning, landscaping, pest control, trash removal, equipment maintenance).
- Verify completion of work orders and ensure accurate documentation of labor, materials, and completed work in the asset management system.
- Assist in scheduling and coordinating maintenance work to minimize disruption to operations.
- Respond to facility-related emergencies, initiating immediate corrective actions or escalating issues to the Facilities Manager as needed.
- Support the Facilities Manager in ensuring compliance with safety policies, procedures, and applicable regulations.
- Provide feedback and recommendations to improve maintenance programs, efficiency, and resource use.
- Serve as acting lead in the Facilities Manager's absence for routine operations.
- Perform other related duties as assigned.
Knowledge, Skills and Abilities:
- Working knowledge of facilities systems, including HVAC, electrical, life safety, plumbing, and building maintenance.
- Ability to read and interpret design drawings, technical manuals, and maintenance instructions.
- Ability to troubleshoot mechanical, electrical and complex systems.
- Strong organizational and time management skills, with the ability to coordinate multiple priorities across multiple facilities.
Proficiency in work order and asset management systems (e.g., Trapeze EAM or equivalent).
Ability to communicate effectively with staff, contractors, and management both orally and in writing.
- Problem-solving skills with the ability to assess issues and escalate when necessary.
- Competency in using standard office software (Word, Excel, Outlook, etc.) for reporting and scheduling.
- Ability to maintain effective working relationships with staff, contractors, and other departments.
- Positive proactive attitude.
- Strong knowledge of regulatory agencies (e.g., OSHA, NFPA, NEC, EPA, ASME, ANSI)

Additional/Miscellaneous/Special Requirements:
- Acceptable criminal history record check upon hire which must be maintained throughout employment.
- Acceptable drug screen results upon hire and as regularly required by policy for position.
- Acceptable driving record upon hire which must be maintained throughout employment.
- Must possess a valid Maryland driver's license.
- Ability to work in varying environmental conditions including outdoors, inclement weather, noisy environments, and near moving mechanical systems.
- Ability to wear and correctly use required Personal Protective Equipment (PPE).
- Must be willing to work evenings, weekends, and holidays as required.
- Must be able to respond to emergencies on a 24/7 basis.
Education and Experience:
- Associate's Degree in Engineering, Facilities Management, or a related technical field preferred (HVAC/Electrical Journeyman License). Equivalent work experience may be substituted.
- Minimum of three (3) years of experience in facilities maintenance, including at least one (1) year in a lead or supervisory role.
- Experience coordinating maintenance staff and/or contractors.
- Prior experience working with asset management or work order tracking systems preferred.
