Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with friendly professionalism
- Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Maintain accurate records through data entry, filing, proofreading, and updating databases using Microsoft Office and Google Workspace tools
- Oversee calendar management for meetings, appointments, and events to ensure optimal time utilization
- Handle clerical tasks such as photocopying, faxing, scanning documents, and managing office supplies inventory
- Support bookkeeping activities including basic bookkeeping using QuickBooks or similar software
- Assist with administrative projects like preparing reports, organizing files, and supporting customer service efforts
Experience
- Proven office management experience with a strong background in administrative support roles
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Prior experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Strong communication skills in both English and bilingual settings (if applicable), with exceptional phone etiquette
- Previous clerical experience including data entry, filing, proofreading, and document management
- Familiarity with medical or dental receptionist duties or personal assistant responsibilities is a plus
