Sales Administrator Summary

The Sales Administrator ensures the sales team operates efficiently, accurately, and in full alignment with Pure Process Technology’s Core Values and Goals. This person owns the administrative and operational backbone of the sales function—maintaining CRM integrity, managing documentation, tracking metrics, and ensuring smooth communication between sales, operations, and leadership.
They play a key role in helping the team gain traction by keeping metrics updated, preparing data for Leadership Meetings, and supporting execution on sales goals.
Sales Operations & Administration
- Maintain and update CRM (e.g., HubSpot/Salesforce) with accurate customer and pipeline data.
- Prepare and distribute weekly sales reports and metrics.
- Assist with quote creation, proposal tracking, and order entry.
- Manage documentation for contracts, purchase orders, and customer onboarding.
- Support coordination of meetings, events, and client communications.
Process & Accountability Support
- Ensure consistent use of sales processes and templates across the team.
- Track progress on departmental goals, help track issues that arise while assisting in finding a solution.
- Prepare agendas, reports, and materials for Leadership Quarterly Meetings.
- Identify process inefficiencies and suggest improvements.
- Maintain visibility on KPIs and ensure data integrity across systems.
Customer Service
- Serve as the first point of contact for incoming client inquiries and follow-ups.
- Schedule customer calls and demos for Sales Leader.
- Coordinate between sales, operations, and finance to ensure seamless handoffs.
Key Measurables
- CRM Data Accuracy: ≥ 98%
- Quote Turnaround Time: < 24 hours
- Weekly Scorecard Submitted: 100%
- Customer Follow-ups Logged: 100%
- Issues Resolved Within Timeline: ≥ 90%

Qualifications
- 3 years of experience in Sales Administration, Sales Support, or similar role.
- Experience with CRM software (HubSpot, Salesforce, etc.).
- Strong reporting and data management skills.
- EOS familiarity or certification (preferred but not required).
- Bachelor’s degree or equivalent experience in business, marketing, or operations.
