Pure Harmony Med Spa is a boutique, physician-led aesthetic practice committed to exceptional patient care and a warm, professional environment. We are looking for a reliable, polished, enthusiastic Front Desk Receptionist and Patient Coordinator who enjoys creating memorable client experiences, works well under pressure, and is confident with sales and multitasking. Preferred schedule is Monday to Friday 9:30AM to 6pm with occasional half-day Saturdays. Pay is an hourly wage plus commission on sales.
Key Responsibilities
- Client Experience and Check-In
Warmly greet and check in clients, assist with electronic consents and intake forms
Answer phones and manage voicemail, email, and social media inquiries
Handle client concerns professionally, discreetly, and with empathy
- Checkout and Scheduling
Check out clients for services and retail purchases and apply promotions, loyalty points, Alle and Aspire rewards, CareCredit, and gift cards
Rebook next appointments and maintain accurate schedules to support provider productivity
Ensure all payment processing is accurate and meets daily reconciliation standards
- Sales and Marketing Support
Promote services, memberships, packages, and retail skincare to meet revenue goals
Engage with leads and convert inquiries into booked appointments
Assist with light social media engagement when needed
Commission is available for qualifying sales
- Operations and Organization
Complete opening and closing procedures and maintain a clean, organized reception and retail area
Perform end-of-day balancing and keep accurate records
Support team workflow to create a seamless and efficient client experience
Required Skills and Expectations
Ability to manage simultaneous check-ins, check-outs, phone calls, and scheduling with accuracy and calm professionalism
Strong computer proficiency with the ability to learn multiple cloud-based systems including AestheticsPro, Podium, Alle, CareCredit, Aspire, and GChat
Excellent communication skills, both verbal and written
Consistent punctuality and reliability are essential
Professional appearance and demeanor that reflect the standards of a physician-led practice
Preferred Experience
One year in a med spa, dermatology, or plastic surgery front desk role
One year in medical or high-volume front desk work
Experience in sales or upselling services or retail products
