Key Responsibilities:
- Greet and check in clients in a warm and professional manner
- Answer phones, schedule appointments, and manage calendars for clinicians
- Verify insurance information and assist with basic billing tasks
- Maintain accurate client records and ensure confidentiality (HIPAA compliance)
- Process intake paperwork and coordinate client flow
- Handle general administrative duties (filing, faxing, emailing, data entry)
- Assist clinicians and office manager with day-to-day operational needs
- Coordinate and manage Zoom appointments, including sending links, troubleshooting basic technical issues, and ensuring sessions start on time
- High school diploma or equivalent (Associates or higher preferred)
- Previous experience in a medical, mental health, or administrative setting preferred
- Strong communication and interpersonal skills
- Proficiency with computers and scheduling software (EHR systems a plus)
- Ability to multitask and stay organized in a fast-paced environment
