We are seeking a highly organized and dynamic Shared Services Manager to oversee and optimize our shared service functions within PumpMan. The Shared Services Manager will play a pivotal role in streamlining processes, enhancing efficiency, and driving continuous improvement across multiple departments.
Responsibilities
Supervise accounts payable, purchasing, and accounts receivable functions, ensuring timely and accurate processing of purchase orders, invoices, payments, and collections.
Review aging reports and follow up on overdue accounts receivable to minimize bad debt exposure.
Manage customer relationship to support collections efforts and maintain positive business relationships, coordinate with service centers management to troubleshoot customer issues as needed.
Manage vendor relationships and negotiate favorable payment terms.
Support weekly and monthly reporting requirements to controller and senior management, as needed.
Support the training and development of Shared Services Staff, working with the controller and senior management to improve training program
Accounting Management:
Assist with aspects of the accounting function including accounts payable, accounts receivable, general ledger, and financial reporting.
Ensure compliance with accounting principles, standards, and regulations.
Manage and assist month-end and year-end closing processes to ensure timely and accurate financial reporting.
Implement and maintain internal controls to safeguard company assets and mitigate risks.
General Ledger Management
Oversee the general ledger accounting activities, which may include journal entries, account reconciliations, and month-end close processes.
Ensure accuracy and completeness of financial data recorded in the general ledger.
Technology Integration
Evaluate and implement technology solutions to automate manual processes and enhance the effectiveness of shared service functions.
Collaborate with IT and other stakeholders to integrate systems and tools for seamless operation.
Support acquisition onboarding process by ensuring proper competencies and processes are developed to integrate new companies.
Internal Controls and Compliance
Establish and maintain internal control policies and procedures to safeguard company assets and ensure compliance with regulatory requirements.
Coordinate with internal and external auditors for periodic audits and ensure timely resolution of audit findings.
Stay updated on changes in accounting standards and regulations, implementing necessary changes to ensure compliance.
Continuous Improvement
Lead and assist with continuous improvement initiatives to enhance service quality, reduce costs, and increase customer satisfaction.
Encourage feedback and ideas from team members to drive innovation and process enhancements.
Requirements:
Bachelor's degree in business administration, Finance, or a related field. Master's degree preferred.
Proven experience (3 years) in a similar role, preferably within a service-oriented industry.
Strong accounting skills and comfort with internal control framework
Strong leadership skills with the ability to inspire and motivate cross-functional teams.
High level of comfort with advanced Excel functions and formulas
Excellent analytical and problem-solving abilities.
Proficiency in project management methodologies and tools.
Experience with ERP systems and other relevant technology platforms. Current Systems are Infor Cloudsuite Syteline and Quickbooks Online/Desktop
