Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate is a self-starter with exceptional communication skills, strong judgment, and the ability to manage multiple priorities in a fast-paced environment.
This role is critical to the efficiency and effectiveness of the executive team and will involve calendar and travel management, project coordination, event planning, and day-to-day office operations. The Executive Assistant will serve as a trusted partner to leadership, ensuring smooth execution of administrative and operational tasks while maintaining confidentiality and professionalism at all times.
Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook, including scheduling meetings, coordinating availability, and arranging travel
- Provide high-level administrative support including email management, document preparation and proofreading, transcription, and data entry
- Coordinate projects, internal initiatives, and assist with planning and execution of company meetings and events
- Serve as a professional point of contact by managing phone calls, emails, and front-desk interactions as needed
- Oversee office operations including filing systems, document organization, and maintaining office supplies
- Support limited personal assistant responsibilities such as personal scheduling and occasional errands for executives
- Assist with client and partner communications and respond to customer service inquiries when appropriate
- Ensure timely completion of administrative tasks, including document execution via DocuSign, report preparation, and record keeping
- Maintain discretion and confidentiality when handling sensitive information
Requirements
- Proven experience as an Executive Assistant, Personal Assistant, or senior administrative professional
- Strong organizational and time-management skills with the ability to prioritize and manage multiple projects simultaneously
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with office management tasks including filing systems, clerical support, and data entry
- Working knowledge of QuickBooks is preferred
- Excellent typing speed with high accuracy; strong proofreading and transcription skills
- Professional phone etiquette and experience handling multi-line phone systems
- Exceptional written and verbal communication skills
- High level of discretion, reliability, and attention to detail
- Familiarity with tools such as DocuSign is a plus
- Prior customer service or office experience is highly desirable
