Key Responsibilities
- Clinic Operations & Workflow: Manages daily clinic operations, including patient scheduling, check-in/check-out procedures, and optimizing patient flow.
- Patient Intake & Support: Oversees initial intake, verifies insurance benefits, collects copays, and ensures new patient documentation is complete.
- Compliance & Records Management: Ensures all electronic health records (EHR) are accurate, complete, and compliant with HIPAA and state regulations.
- Staff Coordination: Maintains staff calendars, manages schedules, and coordinates with providers, nursing, and social work leadership.
- Regulatory & Quality Improvement: Monitors key performance indicators, prepares reports on clinical care quality, and ensures medical necessity criteria are met for services.
- Front Desk Leadership: Often supervises administrative support staff, greeting visitors, answering phones, and resolving patient queries.
- Billing Support: Reviews medical and billing documents for accuracy, resolving errors, and liaising with the billing department.
Required Qualifications
- Education: High school diploma (entry-level) or a Bachelor’s degree in Healthcare Administration, Business, or Psychology.
- Experience: 2 years of administrative experience, preferably in a medical, mental health, or substance use disorder treatment setting.
- Systems Knowledge: Proficiency in Electronic Health Records (EHR) systems (e.g., Epic/MiChart) and Microsoft Office Suite (Excel, Word).
- HIPAA & Regulations: Strong working knowledge of patient confidentiality (HIPAA), and state-specific behavioral health laws.
