We are seeking a dedicated and bilingual (English/Spanish) front desk coordinator to become part of our close-knit outpatient pulmonology office, led by two experienced and caring physicians.
Role Description
Prepare and organize all patients charts prior to appointments
-getting all studies patient required to be done
-obtaining compliance reports for cpap patients
Record patients vitals, medications and input data into praxis
Check patient questionnaire completed by patients
Process medication refills request
Obtain and submit prior authorizations for medications coming from specialty pharmacies
Complete and manage pharmacy related paperwork
Maintain and update patients medication records to be up to date
Ensure all examination rooms are properly stocked with necessary supplies
Prepping examination rooms
Safely collect and handle biohazard materials
Perform diagnostic tests such as spirometry and 6 min walk test (to be trained)
Scan and upload all patients records into patients chart
Assisting patient with injectable special medication.
Accurately document patient messages and relay to appropriate physician
Organize all file and scanned documents into the appropriate electronic medical record folder
Meeting with medical representatives to discuss prior authorization procedures
Call pharmacies for medication refills and fax prescriptions
Call dme companies for nebulizer, cpap and nebulizer medications
Order and manage office supplies
Coordinate lunch meetings
Send on call schedules for both doctors
Obtain and manage medical licenses for both doctors
Qualifications
- Strong Phone Etiquette and ability to perform Receptionist Duties, including handling multiple calls and managing front desk responsibilities efficiently.
- Exceptional Customer Service and Communication skills to interact effectively and professionally with patients, staff, and other parties.
- Proficiency in Computer Literacy to manage scheduling systems, digital records, and perform basic administrative tasks.
- Strong organizational skills and the ability to multi-task in a fast-paced environment.
- Previous experience in a medical office or healthcare setting is a plus.
- High school diploma or equivalent
