Description

Job Goal: To support the effective operation of the Human Resources Department by coordinating key HR functions, including onboarding, employee records management, benefits and staff
support. The HR specialist ensures accurate and timely HR processes, contributes to a welcoming and equitable workplace culture, and assists in maintaining district compliance
with state and federal regulations.
Essential Job Functions:
- Provides comprehensive human resources support for all employees across the district
- Process staffing requests and vacancy notices in accordance with district procedures
- Maintains and monitors the district’s online employment application system; provides assistance to applicants, new hires, and current employees as needed
- Trains and supports administrative staff on HR systems, including the online application platform, substitute management system, and other HR related software
- Assists in maintaining and updating personnel records for all district employees, including documentation of personnel actions (e.g., retirements, resignations, disciplinary actions), ensuring accurate data for payroll and compliance purposes
- Administers employee insurance and benefits processes, including enrollments, changes, and terminations, and ensures timely submission of required documents to payroll and insurance providers
- Compiles and submits annual WISEStaff personnel report and completes additional district, state, or federal reports and surveys as required
- Conducts criminal background checks for prospective employees in accordance with district and state requirements
- Coordinates the new hire onboarding process, including orientations, employment paperwork, reference checks, and required pre-employment screenings (physical, TB test, drug screen)
- Maintains the Employee Management System, including staff assignments, annual plan setup, salary matrix updates, step increases, professional growth/credit tracking, certification updates, payroll exports, and staff calendar creation

Other Responsibilities:
- Manages and maintains the Frontline Absence Management system, including substitute teacher lists, and compiles and updates rosters of substitute aids, secretaries and teachers
- Communicates with substitute employees regarding hiring decisions, onboarding requirements, and annual continuation of employment
- Processes insurance tracking calculations and benefit cost estimates to update employee payroll profiles for the bi-monthly payroll cycle
- Assists in preparing and issuing annual employment contracts for all designated employee groups, including administrators and teachers
- Responds to personnel inquiries from administrators, supervisors, and coordinators,
providing accurate and timely HR information and guidance
Qualifications
Qualifications:
High school diploma required; minimum of five years of progressively responsible
office experience
Associate degree or higher in human resources, business, or a related field preferred,
or an equivalent combination of education and experience
Demonstrated ability to work effectively and productively in a fast-paced, multi-task environment while maintaining strict confidentiality and data security
Proficiency with district technology systems, including Google Workspace tools (Docs, Sheets, Slides, Gmail) and human resources software platforms
Working knowledge of office procedures and operation of common office equipment
Demonstrated secretarial and administrative support skills, including word processing, customer service, and front-office reception
Current First Aid/CPR certification or the willingness to obtain certification upon hire
Demonstrated ability to:

Perform all technology-based tasks required of the position
