Overview Of The Organization

The Puerto Rico Science, Technology and Research Trust (“PRSTRT” or “Trust”) is a private non-profit organization created in 2004 to encourage and promote innovation, transfer, and commercialization of technology and creation of jobs in the technology sector. We contribute to Puerto Rico’s public policy for science, technology, research, and development. The Trust’s mission is to invest, facilitate and build capacity to continually advance Puerto Rico's economy and its citizens’ well-being through innovation-driven enterprises, science, technology, research, and public health. Purpose

PRCCI is a dynamic, successful start-up, which launched in April 2016. All current employees get involved in a lot of different aspects of the organization and everyone is pulling their weight. But there is a lot to do, and we need help. We are looking for an energetic and hands-on addition to our team, who can help us improve our operational excellence, while contributing to taking PRCCI to the next level of its ambitious objectives.

This role will support the team in its day-to-day activities, managing the financial aspects of the clinical trials of our member sites and own site. Also, the person will manage selected areas of the accounting cycle for the corporation and the company’s key performance indicators.

To be most successful in this role and PRCCI’s dynamic and changing environment, the individual should be open to getting involved with a lot of aspects of PRCCI.

Key Responsibilities And Duties

  • Support Clinical Trials Financial Operation:
    • Assist operations in documenting and feeding the studies clinical trial budget for variable per patient and fixed cost elements into CTMS.
    • Works with the Financial Lead in aspects related to the financial management of the clinical trials for the consortium members and the clinical research center, this includes billing, collection, and reconciliation of studies activities due to the sites and clinical research center.
    • Manage the record retention process for documents received in appropriate locations (e.g. Share point, CTMS, One Drive, etc.) to maintain high-quality data.
    • Prepare end of the month invoices for start-up fees, close out fees and active visits related to consortium sites and clinical research center studies.
    • Verify with members if data entered in Clinical Conductor is accurate.
    • Create invoices to Sponsors for activities in Clinical Conductor for billing and entry into QuickBooks.
    • Calculate PRCCI’s Studies Retention % and Sites Payments as per agreed.
    • Calculates PI Compensation payments and PRCCI retention as per agreements.
    • Fill out site payment process form for every payment/deposit received from Sponsors “Gather all evidence of payment”.
    • Contact Sponsor for any payment disputes.
    • Reconcile Sponsor payments with visits entered in Clinical Conductor *Apply credits if necessary.
    • Send aging reports to Sponsors requesting open balance payments.
    • Follow up on pending balances with Sponsors.
    • Contact Sponsor/CRO or any budget dispute.
    • Participate in promotional and training activities related to the promotion of clinical trial activities in Puerto Rico such as: Annual SUMMIT, conventions and others related.
    • Provide feedback to the Clinical Research Operations area in terms of study budget negotiation.
    • Prepare the annual doubtful account reserve analysis and recording into QuickBooks.

  • Support Federally Funded (Grants) Financial Operation:
    • Support budget development for new grants proposals.
    • Manage all aspects of budget recording in QuickBooks.
    • Manage all invoicing and disbursements activities.
    • Manage the compliance of all federally granted funds in accordance with federal as well as local regulations.
    • Other as needed.

  • Manage all financial aspects of the CRO - Clinical Research Organization Division:
    • Support the business development team in the preparation of studies management proposals to prospective Sponsors.
    • Manage all aspects of payments to sites and billing to Sponsor for all activities included in the support agreements.
    • Work with the data management systems to track study activities and site invoices for proper payment to sites and reporting to Sponsor.
    • Others as needed.

  • Accounting items:
    • Prepare quarterly reconciliations of CTMS balances vs QuickBooks.
    • Manage existent and new vendors compliance and payments; prepare A/P forms, ACH requests and other related.
    • Enter data in QuickBooks.
    • Prepare monthly journal entries as needed.
    • Prepare and file annual informative returns for services rendered.
    • Prepare schedules and PBC for annual external audit.
    • Assist the external audit process providing requested PBC, documentation and analyses as requested.
    • Perform periodical balance sheets reviews for fixed assets, prepaid accounts, and others.

  • Finance and Performance Management:
    • Support Board meeting presentations in PowerPoint.
    • Compile quarterly key performance indicators (KPI’s) from all operational areas and prepare quarterly report – Scorecard.
    • Prepare quarterly analyses of CT revenue generated and site payments accrual to report as net service revenue.
    • Prepare quarterly analyses by studies of actual vs budget for CT gross revenue.
    • Facilitate the transfer, retention, and retrieval of physical and electronic records, maintain shared drive.
    • Work with the Operations and Quality Department for the development of the quarterly forecast for the Consortium as well as PRCCI Clinical Research Center gross revenue from clinical trial studies.
    • Support special projects assigned by the Chief Financial Officer and the Executive Director of PRCCI including AD Hoc financial analyses among others.

    Qualifications & Technical Job Requirements

    • Applicant must be systems / IT / digital savvy with a strong ability to quickly learn how to use new systems.
    • Knowledge of Quick Books or similar applications.
    • Strong knowledge of Microsoft Office (PowerPoint, Excel).
    • Strong technical and organizational skills in addition to excellent written and verbal communication skills, in a professional environment.
    • A high level of integrity, accuracy, dependability, and enthusiasm.
    • Ability to work independently.
    • Fluent in written and oral English and Spanish.
    • Exposure to and/or knowledge of pharma / biotech /health industry preferably related to clinical trials (desired) or managed care.
    • Commitment to excellence and customer service.
    • Very detailed oriented.
    • Very organized with the ability to multitask and juggle multiple tasks at the same time.
    • Creative and flexible in response to competing priorities.
    • Excellent oral and written communication skills.
    • High level of enthusiasm, energy, and confidence.

    Experience & Educational Requirements

    • Bachelor’s degree in Finance/Accounting.
    • Certified Public Accountant (CPA) Certification License preferred.
    • Previous work experience (2–3 years) preferably in the health industry.
    • Experience in developing relationships with stakeholders.
