POSITION DESCRIPTION

Position Title: Resident Services Specialist

Job Location: Pueblo of Pojoaque Housing Corporation (PPHC) Office
Pueblo of Pojoaque, NM

Supervision: Director of Housing

General Functions: Under the supervision of the Director, providing professional assistance to the director in the operations and management of PPHC. Duties shall include but are not limited too clerical, data collection, assistance in operations, management, planning and implementation of the programs and projects. In addition, routine bookkeeping tasks, in support of an operating unit to include posting entries, verifying and reconciling input to financial reporting systems output, processing payments and/or assisting in preparation of billing and other financial reports.

DUTIES and RESPONSIBILITES

1. Is in charge of assisting the Director in all functions associated to the proper management and operation of PPHC.

2. Provides assistance in office management including filing, data retrieval and entry, recording of information and cost analysis and clerical functions in conjunction with the operation of PPHC.

3. Obtain all annual recertification documentation from Low Income Housing Tax Credit (LIHTC) tenants (as required by federal and state regulations) to ensure tenants continue to be qualified for homes. All documentation must be obtained annually.

4. Complies data and completes documents for quarterly reporting to LIHTC syndicator to ensure continued compliance.

5. Serves as liaison between tenants, PPHC administrators, maintenance, outside contractors and other private/public entities to provide information, expedite services and resolve problems.

6. Reviews compliance issues on all properties managed by PPHC and consults with supervisors and legal counsel on legal questions and issues relating to the policies governing those properties.

7. Prepares purchasing, travel and other related documents.

8. Enters Vouchers into MIP System

9. Reconciles various expenditure reports to source documents; distributes and files financial documents and reports.

10. Issues receipts and prepares bank deposits.

11. May lead, guide and train staff, volunteers or other employees performing related work.

12. Must maintain adherence to PPHC policies and procedures.

13. Must work well under pressure and meet deadlines.

14. Performs other duties as assigned.

MINIMUM QUALIFICATIONS

1. Associates Degree or better in general administrative disciplines preferred.

2. At least 3 years of experience in office management, business and public administration.

3. A clean driving record and possession of a valid NM State Driver’s License.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

1. Ability to composes, and edit written materials.

2. Ability to communicate effectively, both orally and in writing.

3. Ability to work with and maintain effective communication with related consultants, attorneys, auditors contractors, Tribal Leadership and Departments, the general public and representatives of external cooperation agencies.

4. Knowledge of Indian Housing and Native American Self-Determination Act regulations.

5. Knowledge of computer hardware and software applications such as Microsoft Office, Quick Books, Housing Data Systems (HDS), Network environment with Internet access and capability to utilize such in the conduction of the above responsibilities.

6. Willing to get training.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

· Standing-30% /Walking-20% /Sitting-50%; Office setting and field work.

· Minimal bending/lifting/carrying.

· Safety standards to be followed.

· May be required to work weekends and holidays.

· May be on 24 hour emergency call.

· Travel required.
