Public Defender Services of Lane County is hiring a Business Operations and Finance Manager to support the financial, operational, and facilities needs of our office. This role requires strong organizational skills, comfort with financial systems, and the ability to manage a wide range of responsibilities with accuracy and professionalism. The person in this role will be part of our management team and will help ensure that our office runs smoothly in service of our mission.

Core Job Duties
Accounting and Financial Administration
- Participate in annual budgeting and maintain year to date budget updates
- Prepare financial statements and monthly reconciliations (credit cards, bank accounts, general ledger, balance sheet)
- Prepare financials for annual review or audit and assist the CPA with the annual 990
- Track expenses for OPDS reimbursement and prepare grant and clinic billing
- Oversee all payables and credit card activity, employee expense processing, routine case related payments, and business office recordkeeping.
- Create and update SOPs for the business office
- Respond to IRS notices and complete annual business filings
- Prepare information for fiscal requests such as bank or mortgage documentation
- Complete QuickBooks Online training as needed
Facilities and Operations
- Serve as the primary point of contact for the property management company and coordinate with them on building needs, reports, and repairs
- Review monthly property management reports and reconcile them with internal financials
- Prepare monthly journal entries for property management expenses
- Coordinate building maintenance and respond to issues as they arise
- Communicate building updates, repairs, and safety concerns to staff
- Forward property management bills and statements for payment
- Oversee building safety and operational compliance
Management Team Participation
- Attend PDSC Board meetings virtually
- Participate in weekly Office Management Team and Team 6 Attorney Supervision Committee as needed
Human Resources and Compliance Support
- Submit annual applications for professional liability insurance
- Enroll attorneys in ODCLA, LCBA, and OSB annually
Safety
- Serve as a quarterly member of the Safety Committee
Miscellaneous
- Process mailing list removals and address changes as needed
Required Skills and Experience
- Minimum 5 years of administrative, financial, or operations experience
- Strong organizational and project management skills
- Experience reviewing or auditing financial information is preferred
- Comfort with financial systems, QuickBooks Online, and Microsoft Excel
- Ability to manage multiple recurring deadlines
- High level of confidentiality and discretion
- Clear and professional communication skills
- Experience in nonprofit, legal, or public sector environments is helpful but not required

Salary : $68,000 - $104,555
