We are seeking a Patient Coordinator who is organized, empathetic, detail-oriented, and aligned with our patient-centered mission.
Position Summary
The Patient Coordinator is the first point of contact for new and established patients. This role ensures a smooth patient experience through excellent communication, accurate scheduling, and timely follow-up. You will work with our clinical and administrative team to support patient intake, scheduling, patient messaging via Spruce, and patient navigation within our new EMR (PracticeQ).
Key Responsibilities
Patient Communication & Support
- Serve as the first point of contact via phone, Spruce messaging, and email.
- Greet patients with warmth, professionalism, and empathy.
- Provide clear instructions for new patients, including forms, portal access, and visit expectations.
- Support patients with appointment scheduling, rescheduling, and waitlist management.
- Direct all clinical questions to providers appropriately (following our communication policy).
Scheduling & Intake Coordination
- Review new patient submissions for completeness before scheduling.
- Ensure accurate documentation in PracticeQ (our EMR).
- Manage cancellations, no-shows, and follow-up visit scheduling
Operational & Administrative Tasks
- Handle demographics updates, and payment method updates.
- Explain self-pay rates, telehealth instructions, and practice policies to patients.
- Process forms, letters, and document uploads.
- Handle internal messaging and task routing to the appropriate team member.
- Check blood pressure and heart rate for patients when requested by providers (training provided).
Specific Skills Required
- Warm, welcoming, and professional manner both on the phone and in person.
- Excellent organizational skills, with the ability to multitask and manage competing demands.
- Strong communication skills—clear, empathetic, and professional in both verbal and written form.
- Strong computer and technology skills, including comfort with EMRs, messaging platforms, and Google Workspace.
Required Qualifications
- 1 year experience in a healthcare office, mental health practice, or medical customer-service role.
- Ability to maintain confidentiality and adhere to HIPAA requirements.
- Positive, patient-centered mindset with a commitment to high-quality service.
Job Type: Part-time
Pay: $16.00 - $20.00 per hour
