Role Description This is a full-time, on-site Assistant Office Manager role located in Oxnard, CA. The Assistant Office Manager supports daily office operations, including managing front-desk activities, scheduling appointments, and ensuring accurate patient check-in and check-out procedures. Responsibilities include handling phone calls and messages, responding to patient inquiries, maintaining patient records, and assisting with insurance and billing-related tasks as needed. The role also involves coordinating with clinicians, organizing office supplies, overseeing the use of office equipment, and helping maintain a clean, safe, and welcoming environment. The Assistant Office Manager will support the Office Manager in implementing office policies, monitoring workflow, and identifying opportunities to improve administrative processes.
Ability to lead a team of experienced employees is a must.
Qualifications
- Strong Communication skills, including clear verbal and written interaction with patients, clinicians, and external partners.
- Proficiency in Administrative Assistance and Office Administration, including scheduling, records management, and organizing daily office workflows.
- Experience with Office Equipment such as multi-line phone systems, printers, scanners, and basic troubleshooting of common office technology.
- Demonstrated Customer Service skills, with the ability to handle sensitive situations, maintain confidentiality, and provide a calm, professional presence.
- Prior experience in a medical, behavioral health, or healthcare office setting is preferred.
- Comfort using electronic health records (EHR) or practice management software, or willingness to learn quickly.
- Strong attention to detail, time management, and problem-solving abilities.
- High school diploma or equivalent required; additional coursework or certification in medical office administration is a plus.
- AA degree or higher is preferred.
