Job Overview
We are a growing psychiatric mental health practice seeking a dependable, professional, and compassionate Front Desk Customer Service Representative to join our team. This position has the opportunity to grow into a higher-level administrative role for the right candidate.
We are looking for someone who enjoys helping people, stays organized in a fast-paced environment, and provides excellent customer service to patients and staff.
Position Details
- Part-time with opportunity to transition into full-time.
- Operating hours are Monday through Friday 8:30am - 6:30pm with one Saturday a month (hours vary and are flexible)

Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to in a safe environment.
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette.
- Handle data entry tasks with accuracy in EHR, including filing, proofreading, and maintaining organized records.
- Verify insurance benefits, co-pays, deductibles, and eligibility.
- Collect co-pays and assist with patient check-in/check-out.
- Process prior authorizations through insurance portals and CoverMyMeds.
- Support office management duties such as calendar management, appointment scheduling, and basic bookkeeping. Other duties as needed.
- Comply with all HIPAA federal laws and regulations.
- Assist with general front office coordination and administrative duties.
- Help maintain a professional, clean, and welcoming office environment.
- Support administrative functions such as organizing meetings, managing office supplies, and supporting tasks as needed.
Qualifications
- Previous office experience or clerical experience preferred but not necessary.
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry software.
- Excellent organizational skills with attention to detail in proofreading, filing, and managing schedules.
- Insurance verification or medical insurance experience is a plus, but not necessary
- Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment.
- Bilingual skills are highly desirable to serve diverse patient populations effectively.
- Professional appearance and positive attitude.
