Job Summary:
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will be responsible for providing administrative support, managing front desk operations, and assisting with various office tasks. The ideal candidate will have excellent communication skills, strong organizational abilities, and the ability to multitask effectively.
Responsibilities:
- Greet visitors and direct them to the appropriate person or department
- Answer phone calls and respond to inquiries in a professional and courteous manner
- Manage incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment
- Maintain office supplies inventory and place orders as needed
- Coordinate meetings and appointments, including scheduling conference rooms and sending out meeting invitations
- Assist with project coordination by organizing files, documents, and other materials
- Provide general clerical support such as photocopying, scanning, and filing
- Assist with document management using Quickbooks, Paylocity, etc.
- Perform other administrative tasks as assigned
Experience:
- Previous experience in an administrative or office support role is preferred
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity issuing invoices and managing employee payroll
- Excellent phone etiquette and customer service skills
- Ability to prioritize tasks and manage time effectively
- Strong attention to detail and accuracy in work
- Ability to maintain confidentiality of sensitive information
- Bilingual (English & Spanish)
