Duties
- Greet visitors, clients, and staff warmly, ensuring they feel welcomed and valued.
- Manage multi-line phone systems efficiently, directing calls to the appropriate personnel with courteous phone etiquette.
- Handle appointment scheduling and calendar management using Google Workspace or Microsoft Office tools.
- Perform data entry, filing, and maintain accurate records to support office operations.
- Assist with basic bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping.
- Support office management activities including supply inventory, organization of documents, and proofreading correspondence.
- Provide exceptional customer service by responding promptly to inquiries and supporting client needs both in person and over the phone.
Requirements
- Proven office experience with strong clerical skills including data entry, filing, and document proofreading.
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with multi-line phone systems and excellent phone etiquette.
- Ability to manage time effectively, prioritize tasks efficiently, and demonstrate strong organizational skills.
- Bilingual abilities are a plus to assist diverse clients and team members effectively.
- Familiarity with office management procedures such as calendar management, scheduling appointments, and basic bookkeeping using QuickBooks or similar tools.
- Previous experience as a receptionist in medical or dental offices is advantageous but not required; personal assistant experience is also valuable.
