What are the responsibilities and job description for the Associate Project Manager position at Pryme Agency?
The Associate Project Manager is responsible for the internal management of assigned projects from initiation through completion—typically of higher profile and/or complexity. The Associate Project Manager has a comprehensive understanding of all project details and can effectively communicate relevant information to the appropriate department(s). The Associate Project Manager is viewed as strong leader to the team—able to enforce and navigate internal processes, and anticipate problems and provide immediate solutions when necessary. The Associate Project Manager is also responsible having an in-depth understanding of Agency processes, as well as Clients’ processes and procedures. This role requires the ability to effectively manage various responsibilities simultaneously, while maintaining a strong attention to detail, provide clear communication, and excellent time management.
NOTE: Only candidates in the TriState Area (NJ/NYC/Local PA) will be considered for this position.

- Lead day-to-day project management responsibilities for assigned workstreams, such as—updating daily hot sheets/EOD lists, tracking and maintaining updates to weekly internal status report, organizing kickoff meetings, timeline development and refinement
- Lead digital projects (websites, apps and email); working closely with the digital team to develop timelines/Gantt charts as needed
- Serve as an extension of assigned Account team, in supporting Client initiatives, such as sharing insights into current and future projects, navigate roadblocks, and guidance to internal team leads
- Ability to effectively communicate project details, both written and verbally, such as current status, immediate next steps, deliverables, etc. across various channels
- Own the creation and maintenance of internal job numbers, billing rates, etc. within internal time-tracking system in alignment with outlined scope of works
- Own the creation and maintenance of workspaces in digital routing platform (setup new users, open workspaces, update workflows, file upload and maintenance, etc.)
- Prioritize and manage workloads amongst functional team leads
- Track and monitor routing of projects to appropriate team members, adhering to Agency process and ensuring quality control
- Demonstrate complete job knowledge and thorough understanding of Agency processes and platforms, routing procedures, and roles and responsibilities of internal team members
- Comprehensive knowledge of Clients’ systems and procedures for tracking projects, submissions, etc.
- Confidence in engaging with Client and/or external partners (print and digital vendors), ability to speak to project details, timing, and education around internal processes
- Lead new hire onboardings for assigned workstreams
- Participate in and conduct Project Management team meetings
- Demonstrate initiative by suggesting improvements to Agency and team processes
- Assist with operational initiatives, beyond the typical PM duties to assigned workstreams
- Participate in candidate interview process for potential Project Management team hires
- Working knowledge of project budgets and hours allocation by department
Qualifications:
- Bachelor’s degree in marketing, management, advertising, communications, related field, and/or equivalent work experience
- 3-5 years of professional work experience within a healthcare agency setting
- Experience managing digital projects required
- Product launch experience required
- Managerial experience preferred
- Knowledge of Microsoft Office Suite and Mac operating systems
