The Group Insurance Operations team is seeking an experienced, highly engaged, self-motivated Executive Assistant to partner with the head of Operations and Claims.
This team follows a hybrid schedule with an on-site expectations of 2 days a week in our Portland, ME office.
What you can expect:
- Anticipate needs of SLT member and respective team members.
- Act as first line of defense for meeting requests with a member of the Group Insurance Senior Leadership Team and help to maintain in-coming and out-going email communication - prioritizing most critical items needing attention/handling.
- Lead complex internal and external scheduling efforts across multiple time zones and extensive calendar management for the executive leader and their reporting leaders (e.g., anticipating conflicts and being proactive in calling attention to critical meetings that require preparation).
- Schedules large and or complex meetings with key customers, high level executives and large teams. Handles all logistics, including anticipating technology needs in a hybrid-work environment, preparing materials, tracking meeting agenda topics and required attendees. Considerable coordination and follow through is required.
- Demonstrate strong business acumen and organizational savvy to effectively prioritize and manage requests; provide the appropriate degree of flexibility and ensure follow-through on issues in a timely manner.
- Regularly and independently research and/or respond to a portion of the leader’s email and phone inquiries.
- Build strong relationships across Group Insurance and broader Prudential enterprise
- Coordinate travel arrangements, prepare itineraries and submit accurate general expense and travel vouchers, reconcile credit card statements, pre-check team expense reports for accuracy, and enter necessary information into compliance and other monitoring systems.
- Oversee onboarding support for any new executive leaders who join the team and play an influential but informal leadership role among the administrators in Business & Customer Impact setting culture and engagement for that group.
What you’ll need:
- At least 3-5 years of administrative experience for Sr. Executive leaders.
- Highly organized, detail-oriented, strong multi-tasking skills, ability to prioritize effectively, display excellent time management skills and ability to maintain focus despite frequent interruptions while handling multiple priorities simultaneously.
- Ability to take initiative and anticipate needs, problem solve and to think ahead for upcoming priorities weeks/months in advance, within minimal direction. Presents solutions for problems/challenges.
- Excellent ability in making accurate and timely administrative judgment and maintains discretion in handling highly sensitive and confidential information.
- Technologically savvy and knowledge of systems such as procurement, security/software requests, travel reservations, and time-off/calendar management, etc
- Excellent proficiency in Office 365 suite (e.g., Outlook, Teams, SharePoint, PowerPoint, Excel, and Word), Workday navigation and reporting.
It’d be a plus if you had:
- Experience with Power BI.
- Validated Project Management skills.

The salary range for this role is from $67,500.00 to $100,400.00. Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills.
