Overview
The Systems Administrator is responsible for the day-to-day administration and support of the client’s internal systems and access infrastructure. This role focuses on executing and maintaining user access, device management, and systems-related onboarding and offboarding processes to ensure smooth, secure, and efficient operations across the organization and client environments.
Key Responsibilities
Systems & Access Administration
- Provision, modify, and deprovision user access across internal and client-facing systems
- Maintain accurate records of user access, credentials, and permissions
- Support access requests and troubleshoot system-related issues in a timely manner
- Follow established security protocols and escalate risks or inconsistencies as needed
Device & Asset Management
- Support the setup, configuration, and deployment of company laptops and equipment
- Assist with device tracking, inventory management, and maintenance
- Coordinate device recovery and reallocation during offboarding
Systems Onboarding & Offboarding (Access & Tools)
- Execute systems-related onboarding tasks, including account creation and tool setup for new hires
- Carry out timely deactivation of system access during offboarding
- Ensure access aligns with predefined role-based requirements
- Support continuous improvement of onboarding/offboarding workflows
Systems Support & Maintenance
- Assist in maintaining core systems, including:
- Internal Wiki (credentials and knowledge management)
- Freshdesk accounts and user setup
- Help ensure systems are up to date, organized, and functioning properly
SharePoint Administration
- Administer SharePoint sites, libraries, and permissions to support internal collaboration and document management
- Manage site structure, access controls, and content governance in alignment with security and compliance standards
- Troubleshoot SharePoint access issues and support end users with site navigation and content management
Email & Spam Filter Management
- Administer the company email platform, including mailbox provisioning, distribution lists, shared mailboxes, and mail flow rules
- Configure and maintain the spam filter and email security gateway, including policy tuning, quarantine review, and allow/block list management
- Investigate phishing reports and suspicious messages, taking remediation action as needed
Documentation Support
- Maintain and update operational documentation in SharePoint
- Ensure documentation is accurate, accessible, and follows established standards
- Assist in documenting workflows and processes for professional services and internal operations
Process Support & Improvement
- Identify and communicate opportunities to improve systems and workflows
- Support implementation of process improvements and tools
- Collaborate with cross-functional teams to address systems-related needs
Qualifications
- 2–5 years of experience in systems administration, IT support, or a similar role
- Experience provisioning and managing user access across multiple systems
- Familiarity with ticketing systems (e.g., Freshdesk), documentation platforms (e.g., SharePoint, Wiki tools), and device setup
- Strong attention to detail and ability to follow structured processes
- Hands-on experience administering SharePoint, business email platforms, spam/email security filters, etc
- Ability to handle sensitive information with discretion
- Strong organizational and communication skills
Preferred Qualifications
- Experience supporting onboarding/offboarding from a systems perspective
- Familiarity with identity and access management (IAM) concepts
- Experience in a professional services or client-facing environment
- Exposure to security best practices and compliance standards for SOC and or FISMA/NIST audits
- Familiarity with Microsoft 365 / SharePoint Online administration
