Reporting directly to the Senior Employee Services Partner, the Employee Services Partner will be responsible for transacting and directly supporting employee requests and inquiries around employee leaves, sick and vacation time, salary verifications, substitute management, and general online updates and maintenance of employee records. The Employee Services Partner will also support the HC Partner in fulfilling requests for the schools regarding employee personnel information.
The ideal candidate will provide high levels of customer service with the ability to work efficiently. In addition, the candidate will leverage technical applications and tools as well as drive continual process improvements.
Group 7, 12 month Clerical Position

EDUCATION REQUIREMENTS:
High School Diploma or GED Diploma required
Bachelor’s Degree or equivalent professional experience preferred
Successful completion of an appropriate clerical test

Appropriate skills and/or knowledge of Microsoft Office (Word, Excel, Access) and Lawson as required or willing to be trained; Typing proficiency

Demonstrated success in providing high levels of excellent customer service skills, verbal and written communication, and relationship building experience
Excellent organizational skills and demonstrated ability to multi-task and prioritize daily tasks
Ability to plan, organize, complete assigned work
Strong interpersonal and communication skills and experience
Tactful, with the ability to deal with a variety of situations and a high level of confidentiality
Experience working effectively with a wide range of constituencies in a diverse community
Bilingual preferred
DESCRIPTION OF DUTIES & RESPONSIBILITIES:
The Employee Services Partner’s responsibilities will include, but not be limited to the following:
COMPLIANCE AND EMPLOYEE INFORMATION MANAGEMENT
Manage and coordinate all aspects, including records, of all leaves of absence administration including advising employees, preparation and intake of forms, submission of forms, and any required employee/manager follow-up
Execute the attendance information management process
Maintain employee files in line with school department’s policies and government regulations
Coordinate all aspects of the separation process including paperwork (i.e. release agreements (when appropriate), and inform all applicable departments of changes (IT, Payroll, etc.)
Maintain confidentiality regarding employee related processes and matters as required
EMPLOYEE CUSTOMER SERVICE
Provide responsive and superior customer service to both candidates and employees as the first point of contact for all walk-in, email, and customer care center and support
Work collaboratively with Senior Employee Services Partner for flagged attendance concerns and monitor absences to make necessary adjustments to ensure coverage
Oversee arrangements for substitute coverage and enter staff absences as needed
Complete employment verification and changes as requested
General problem solving support for staff members
Processing of resignations and retirements and off-boarding communication
File all HR employee services related documents
SUBSTITUTE MANAGEMENT
Manage and serve as the process owner with substitute staffing which includes hiring and placement
Support onboarding and hiring process, scheduling and coordination of new hire orientations while supporting with new employee questions
Conduct background screening as requested or assigned
Welcome outreach to ensure substitute employees are set up on all HR systems, reports as appropriate
Maintain daily data records of absence fill rates by school/department
Maintain confidentiality of all records and transactions
Process employment verifications
Maintain confidentiality and follow school department, state, and federal policies and procedures
Assist with special projects as requested or assigned
