The Confidential Executive Assistant to Specialized Services and Multilingual Learners (MLL) provides high-level administrative and project management support to the Office of Specialized Instruction and the Office of Multilingual Learners (MLL). The position assists the Executive Directors in coordinating departmental operations, managing projects, and supporting office functions.
The role requires strong organizational, communication, and administrative skills, as well as a thorough understanding of district policies and procedures related to Special Education and Multilingual Learner services.
Work is performed under the general direction of the Executive Directors with the opportunity to exercise independent judgment in managing priorities and completing assigned tasks. Work products are reviewed for accuracy, completeness, and alignment with established policies and procedures.
REPORTS TO: Executive Director of Specialized Instruction and Sr. Executive Director of MLL

EDUCATION REQUIREMENTS:
- High School Diploma or GED Diploma required
- College degree from an accredited educational institution preferred
- Must have passed the appropriate clerical test
MINIMUM QUALIFICATION STANDARDS:
- Highly proficient in use of the following computer based applications:
- Microsoft (Word, PowerPoint, Excel)
- Google Drive
- Skyward
- Lawson
- PowerSchool
- Proven office management, administrative or assistant experience
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent administrative supports skills, including typing, word processing, filing and records maintenance
- Bilingual candidate preferred (Spanish)
DESCRIPTION OF DUTIES & RESPONSIBILITIES:
This position is responsible for all clerical functions of the office of Specialized Instruction and Multilingual Learners.
- Maintain project calendars, timelines, and milestone tracking documents.
- Schedule and coordinate project meetings, including sending calendar invites and reminders.
- Prepare meeting agendas, take meeting notes, and distribute summaries and action items.
- Organize and maintain project documentation in shared folders or project management systems.
- Track completion of assigned tasks and follow up with team members on deadlines.
- Maintain contact lists for project stakeholders, partners, and vendors.
- Assist with coordinating logistics for project events, training, or workshops.
- Maintain files related to contracts, agreements, and project deliverables.
- Collect and organize data, feedback forms, or survey responses related to department initiatives.
- Assist in preparing presentation materials
- Ensure records are complete and organized for auditing or compliance purposes.
- Provide general administrative support to department project leads as needed.
- Other duties as assigned by Executive Directors.
