The Providence Public School District (PPSD) serves approximately 22,000 students attending our 35 schools. PPSD employs more than 3,200 professionals who work in and provide support to our schools, which include 19 elementary schools, 6 middle schools, 10 high schools and 2 public district charter schools. Of our employees, approximately 2,000 are educators, and more than 600 others directly support students and families in our schools.

 

Our schools are diverse learning communities. Approximately 68% of our students are Latinx, 15% Black, 7% White, 4% Asian, 5.5% Multi-racial and 1% Native American. Approximately 40% of students are multilingual learners, and about 16% of students receive special education services. Approximately 55% of students come from homes where English is not the primary language spoken. Combined, our students and families speak more than 55 different languages and hail from 91 countries of origin.

REPORTS TO: EXECUTIVE DIRECTOR OF LABOR RELATIONS

 

JOB DESCRIPTION:

Provide administrative assistance in a confidential capacity to the Senior Executive Director, who formulates, determines, and effectuates management and labor relations policies.

DESCRIPTION OF DUTIES & RESPONSIBILITIES:

 

Include the following (other duties may be assigned to meet business needs):

• Provide administrative assistance in a confidential capacity to the Senior Executive Director, who formulates, determines, and effectuates management and labor relations policies.

 

• Create, maintain, and manage files related to labor-management relations within the school department, including those files dealing with the negotiation and administration of collective bargaining agreements.

 

• Type and design general correspondences, memos, charts, tables, graphs, operating plans, etc., especially those relating to the conduct of the labor- management relations of the School Department, including confidential information used for disciplinary matters and grievances.

 

• Under general supervision, create and distribute communications regarding the receipt and resolution of grievances under the various collective bargaining agreements.

 

• Schedule and organize activities such as meetings, schedules, travel, and department activities for the Senior Executive Director and other administrators in the Human Resource Department.

 

• Create and develop visual presentations.

 

• Organize and prioritize large volumes of information and calls.

 

• Open mail for the Senior Executive Director and determine level of priority.

 

• Answer telephone for Senior Executive Director and take messages or answer questions.

 

• Other duties as may be assigned by the supervisor

 

 

Qualifications:

  • Must have the ability to maintain strong employer loyalty and to maintain confidentiality as the incumbent has regular and complete access to privileged and sensitive labor relations material, including material used for disciplinary mattes, grievances, contract proposals, management strategy, and correspondence and communications with legal counsel concerning labor relations.
  • Must have excellent interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Must be able to interact and communicate with individuals at all levels of the organization, as well as external contacts including labor and employment counsel, representatives and officials of labor unions, and representatives of agencies such as the Rhode Island Labor Relations Board and the Rhode Island Commission for Human Rights.
  • Must have knowledge of a variety of computer software applications including Microsoft Office Suite and the Lawson and/or Abra Human Resource Information Systems.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines, especially in those materials that relate to the negotiation or administration of collective bargaining agreements. Must be able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands.

 

 

EDUCATION/TRAINING/EXPERIENCE:

 

• High school diploma or GED required. Completion of post-secondary program for administrative or executive assistants preferred.

 

• A minimum of five years of professional administrative assistant experience, one year of which may be substituted by an equivalent period of post-secondary education in program for administrative or executive assistants.

 

• Experience assisting an executive with labor relations responsibility is preferred.
