Hospice Volunteer Coordinator
The Volunteer Coordinator is responsible for planning, recruiting, coordinating, training, assigning, and managing all volunteer program activities in accordance with the organization per regulations. Creative program development and maintaining the program is crucial for strong volunteers. Educating and selecting volunteers from at least three recruitment sessions a year is essential to the volunteer program sustainability to meet patient/family and organizational needs. Understanding patient/family's unique volunteer needs are met through a trusting and compassionate relationship, collaboration with the hospice IDG, and consideration of other community support systems.
Responsibilities and desired skills:
- Work with and attend Interdisciplinary Group (IDG) to identify volunteer needs and establish, coordinate, and update the individualized plan of care for the hospice patient/family and volunteer support.
- Establish both direct care and administrative opportunities for volunteers with associated duties and responsibilities through monthly statistics.
- Coordinate with patients/families and facilities to assign volunteers to serve based on patient/family/caregiver needs and volunteers’ interests and abilities.
- Maintain volunteer personnel files.
- Work closely with Hospice Administrator, Social Worker, Bereavement and Spiritual Counselors to creatively identify utilization of volunteer support.
- Possess knowledge of the Medicare Hospice Benefit and regulations related to survey and accreditation standards of practice.
- Ability to work in diverse environments: interfaith, cultures, beliefs, socio-economic, values, residence.
- Collaborate with Human Resources to ensure organizational standards of practice regarding recruitment, interviewing, screening, and record management are followed.
- Efficient application of EMR and other software to manage volunteer activities, data, and patient documentation.
- Establish and maintain community presence to increase awareness of hospice volunteer opportunities and potential recruitment.
- Demonstrate an understanding of the QAPI process, hospice policies and procedures, and participate in quality projects as requested. Prepare for surveys, accreditation and quality data collection as requested by Administrator/Quality Supervisor and/or the QAPI Plan. Prepares Board reports as required.
- Collaborate with the hospice bereavement and spiritual teams to facilitate volunteer participation in memorial services, children's activities, support groups, mailings, public relations, community events, and fundraising.
- Document cost savings achieved through volunteers to include direct care and administrative hours and work time spent.
- Educate hospice staff on the many opportunities to utilize volunteers, elicit ideas from staff and volunteers for additional opportunities to benefit from volunteer services. Achieve or exceed required 5% of total direct care hours are equivalent to volunteer hours.
- Participate in weekend assignments as requested.
- Complete volunteer competencies, continuing education and evaluations as established by policy, regulations, and accreditation.
- Assist in staff orientation process related to the volunteer program.
- Evaluate volunteer program performance and participation annually.
- Communicate by phone, mail, and e-mail in a professional and supportive manner.
- Commits to high ethical standards and complies with the Code of Conduct, state and federal regulations, accreditation standards, and policies and procedures.
- Maintains confidentiality of patient and employee records and information.
- Has a duty to report compliance concerns, significant legal risk questions, fraud, abuse, suspected or actual misconduct to the Executive Director and/or Quality Coordinator.
Preferred experience: 1year experience in above mentioned fields or Hospice/Volunteer experience preferred. Experience with electronic documentation and basic computer skills (Word and Excel).
Preferred education: Bachelor’s degree in Sociology, Human Resources, Community Development, Public Relations, or related field or business preferred.
