Title: Finance Coordinator

Position Overview
The Part-Time Finance Coordinator plays a critical role in supporting the financial operations of the firm. This position is ideal for a detail-oriented professional with critical thinking skills, experience in accounting within the financial services industry. The role focuses on maintaining accurate financial records, managing expense reporting and compliance, and supporting advisor compensation and LLC structures.
Key Responsibilities
Accounting
- Maintain accurate financial records including general ledger entries, reconciliations, and journal postings.
- Process accounts payable and receivable and manage invoicing and billing cycles.
- Reconcile bank and investment accounts regularly.
Financial Analysis
- Support financial analysis to identify trends and improve operational efficiency.
Budgeting & Expense Oversight
- Support the budgeting process and monitor actuals against forecasts.
- Track and reconcile firm and advisor-related expenses.
- Assist in managing advisor compensation structures and LLC distributions.
Tax Coordination & Compliance
- Collaborate with external tax professionals for tax planning and preparation.
- Maintain documentation for tax filings, including 1099s and other required forms.
- Ensure compliance with financial regulations and internal policies.
Policy & Procedure Support
- Help refine and implement financial policies, procedures, and internal controls.
- Contribute to process improvements for transparency and efficiency.
Qualifications
- Education: Associate or bachelor’s degree in accounting, finance, or related field; Required certifications in CPA, CMA, CFM.
- Experience: Minimum of 5 years in accounting preferably in a financial advisory or professional services firm.
- Technical Skills: Proficiency in QuickBooks, Excel, and financial reporting tools.
- Industry Knowledge: Familiarity with financial advisor compensation models, LLC structures, and investment-related accounting.
- Communication: Ability to clearly present financial data to advisors and leadership.
- Professionalism: High ethical standards, confidentiality, and attention to detail.
Required Skills
- Expertise in QuickBooks, Excel, and financial reporting software.
- Strong understanding of LLC structures, advisor compensation, and distribution models.
- Ability to manage multiple priorities in a hybrid work environment.
- Skilled in developing and maintaining internal controls and financial documentation.
