About the Role
We’re looking for a sharp, personable, and proactive Front Desk Administrator who can help us create a seamless experience for our patients — from first touchpoint to ongoing care. This part-time, in-person role is ideal for someone who enjoys blending administrative tasks with people-facing responsibilities and wants to be part of a growing wellness brand.
Key Responsibilities
Patient Experience & Office Operations
- Greet patients warmly and manage all check-in/check-out tasks: billing, scheduling, scanning IDs, verifying intake forms, creating tasks
- Maintain a clean, welcoming space and perform light cleaning at open/close
- Handle incoming calls, emails, and texts; direct messages or resolve requests appropriately
- Serve as a liaison between clinical staff and front desk
Lead & Patient Management
- Call, text, and follow up with new leads daily to book consultations
- Re-engage prospects who canceled, no-showed, or expressed interest but haven’t booked
- Reach out to current/past patients to check in on treatment progress and notify them of new services
- Track communication in lead/patient management systems and stay on top of outreach lists
Marketing & Community Engagement
- Support social media efforts by assisting with content (posting, brainstorming, or appearing in videos)
- Represent Protocol at pop-ups or community events
- Assist in scheduling and organizing in-office events and maintaining partner relationships
Qualifications
- Excellent communication and interpersonal skills — warm, polished, and professional
- Highly organized with the ability to manage multiple tasks and follow up without being prompted
- Comfortable with technology (Google Suite, iPhones, texting platforms, EMR tools)
- Energetic, proactive, and enthusiastic about health, wellness, and helping people feel their best
- Must be able to work in-person in Scarsdale during listed hours

- Thursday 9am-5pm
- Friday 9am-5pm
Job Types: Full-time, Part-time
Pay: $18.00 - $22.00 per hour
