Protem Legal is recruiting a Legal Assistant for a respected Cincinnati law firm with a strong regional practice serving clients throughout Ohio and Kentucky. This is an excellent opportunity for a highly organized legal support professional who enjoys case management, court coordination, deadlines, details, and work that keeps legal matters moving.

The Firm offers the quality and sophistication of a larger legal practice with the personal, team-oriented environment of a smaller firm. Its attorneys handle a broad range of matters, including real estate, business transactions, litigation, lending, transportation/logistics, title-related work, and foreclosure-related legal matters.

This role will support attorneys handling tax lien foreclosure matters. The right candidate will be dependable, detail-driven, comfortable communicating with courts and outside counsel, and able to manage a high-volume workflow with accuracy and follow-through.

What You’ll Do

As Legal Assistant, you will provide administrative and case-management support for attorneys handling tax lien foreclosure matters. Your work will help ensure cases progress efficiently, deadlines are tracked, filings are completed, and required communications are handled promptly.

Responsibilities include:

  • Manage and track docket activity, court deadlines, hearings, filings, and other case requirements
  • Coordinate with local counsel regarding case status, required actions, deadlines, and next steps
  • Communicate with Master Commissioners’ Offices regarding foreclosure sales, reports, scheduling, and case updates
  • Follow up with judges’ offices for case status updates, scheduling information, and procedural guidance when appropriate
  • Prepare and monitor re-notice hearing requirements and court-directed follow-up items
  • Process, code, and track receipts and case-related expenses
  • Review, process, and track WOA invoices and other vendor billing matters
  • Prepare, process, and distribute incoming and outgoing mail related to active cases
  • Maintain accurate records in case management systems, databases, and internal tracking tools
  • Assist attorneys with document organization, case preparation, and administrative support
  • Monitor deadlines and help ensure timely completion of required tasks and filings
  • Prepare, assemble, and mail legal documents to County Clerk offices for recording
  • Perform additional support duties for the foreclosure legal team as needed

What We’re Looking For

The ideal candidate is organized, steady under deadline pressure, and comfortable handling a large number of moving parts. You do not need to be an attorney or paralegal, but you should bring strong administrative judgment, legal-office professionalism, and the ability to follow through carefully.

Strong candidates will have:

  • Prior experience in a law firm, legal department, foreclosure practice, title office, court-related role, or similar professional office environment
  • Strong organizational skills and excellent attention to detail
  • Ability to manage multiple deadlines and prioritize competing tasks
  • Clear written and verbal communication skills
  • Comfort communicating with courts, local counsel, government offices, vendors, and internal legal teams
  • Ability to work independently while staying connected to attorneys and team priorities
  • Dependability, accuracy, and a strong sense of ownership
  • Comfort working in a fast-paced, high-volume legal support environment

Helpful Experience

Experience with any of the following would be helpful, but is not required:

  • Tax lien foreclosure matters
  • Foreclosure or real estate legal support
  • Docketing, court deadlines, or case tracking
  • County Clerk recordings
  • Master Commissioner communications
  • Legal billing, invoice tracking, or expense coding
  • Case management software or legal databases

Work Environment

This is a professional office-based role in Cincinnati. The position involves frequent communication with courts, local counsel, government offices, vendors, and attorneys. The work is deadline-sensitive and detail-intensive, making it well-suited for someone who takes pride in keeping cases organized, current, and moving forward.

Compensation

  • Compensation range up to $71,000, based on experience.
  • Benefits include health insurance, 4j01k, and paid time off.
