Position: Industrial Production Department Assistant

Job Summary:
We are looking for a motivated and highly organized Production Department Admin to support the Production Department in a manufacturing environment. This role is responsible for accurate data entry, job tracking, production scheduling support, inventory reconciliation, and cross-department coordination. A background in manufacturing or construction is a plus, particularly experience working with construction materials and within a production-based setting.
Key Responsibilities:
- Enter data from various source documents into the computer system for storage, processing, and job tracking purposes.
- Create and maintain job files according to company procedures.
- Post labor and materials daily to jobs and/or sales orders.
- Input and maintain accurate data within the production schedule.
- Reconcile jobs, projects, and inventory to ensure accurate accounting records.
- Compile reports, manage email correspondence, file documentation, and perform general administrative duties.
- Assist with physical inventory counts and related data entry.
- Interact with vendors regarding parts and services as directed by the supervisor.
- Collaborate professionally with team members across multiple departments.
- Complete miscellaneous projects and additional duties as assigned by the Manufacturing Manager.
Skills and Qualifications:
- Strong organizational skills with the ability to gather and manage information from multiple departments.
- Experience with general office procedures and equipment including computers, copiers, and document management systems.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using inventory software and internet-based systems.
- Professional demeanor with strong written and verbal communication skills.
- Ability to work effectively with a diverse team in a fast-paced manufacturing environment.
- Manufacturing or construction background is a plus.
- Experience working with construction materials and in a production or manufacturing environment is highly preferred.
Physical & Work Environment:
- Primarily office-based within a manufacturing facility.
- May require occasional walking through the production floor and warehouse areas.
- Must be able to sit, stand, and perform computer-based tasks for extended periods.
