Overall Duties & Responsibilities
You will be wearing multiple hats that include functions of an executive assistant, a client coordinator, a portfolio administrator, light in-house bookkeeper, a sales & marketing assistant, compliance officer and maybe more.
Heavy Executive Assistant Functions
- Managing the tasks and scheduling of the CEOs functions
- Manage CEO’s email, messaging, tasks, getting sh$t done! Your job is to take the load off the CEO and make sure it stays off. You are the buffer, so the CEO is not bogged down.
- Assist with getting signatures, onboarding, contracts, legal forms etc
- We run the company by stats - so collecting current key data and preparing stat reports is vital
- Seeing inefficiencies and helping smooth out operations and data
- Setting up new clients and staff on our digital platforms and task management systems
Heavy Portfolio Administrator Functions
- Manage the applications, data, and account management for new insurance applications
- Managing and setting up new investment accounts on various custodian platforms
- Administer transactions and investment instructions for advisors.
- Manage and help set up our new CRM
Light HR Functions
- Manage the hiring and onboarding of new staff (if needed)
- Process payroll
- Keep up and communicate our policies
- Keep track of licenses, CE and compliance requirements for licensed reps and staff
Light Bookkeeping Functions
- Light bookkeeping, paying a bill here and there, and keeping books current.
- Manage bank accounts, vendors, account renewals, etc
- Client invoicing for taxes, projects, billed hours, and managing recurring payments
Light Sales & Marketing Administrative Functions
- Assist with getting client data and agreements
- Working with our media firm for events and publications
- Possible attendance with CEO at conferences 1-3x year
Requirements & qualifications
- A Bachelor's degree in business or finance or a related field is desirable.
- 5-8 years of experience in executive assistant, office manager preferably in financial services
- Proficiency with computers, software, CRMs, and working in a virtual office environment
- Strong attention to detail and organizational skills.
- Knowledge of quickbooks online, payroll and payroll requirements
- We are a finance firm - a background as a portfolio administrator is preferred - you will have to read and understand financial documents for signatures, data gathering, etc. This may be a path for your Para-Planners Certificate if more financial planning support is needed.
- Knowledge of ChatGPT, Claude and fast learner on new AI
- Light travel to support CEO events (possible conferences occasionally)
- Excellent communication and collaboration abilities.
- Extraordinary computer skills are a must, including fast typing, learning new software
- MUST BE FAST ON THE COMPUTER WITH GOOD KNOWLEDGE OF EXCEL/SHEETS
- Must be able to keep track of tasks and set up smooth running operations..
- Must be able to comfortably CALL PEOPLE (not just text or email)
Additional information & benefits
- Hourly rate $20-30/hr
- In-office hours M-F 8:30am-3pm M-F (30hrs for now, likely FT in very short time)
- Paid holidays, vacation & sick pay
