The Role: The Front Office Medical Receptionist is the first point of contact for our patients. You will manage the flow of the reception area, ensure that patient check-in and check-out processes run smoothly, and handle vital administrative duties that keep the clinic operating efficiently.
Key Responsibilities:
Patient Experience:
- Warmly greet patients upon arrival and ensure the waiting area remains clean and welcoming.
- Answer multi-line phone calls, direct inquiries, and take accurate messages.
- Assist new patients with intake forms and explain clinic policies clearly.
Scheduling & Coordination:
- Schedule, confirm, and manage patient appointments using our Electronic Medical Record (EMR) system.
- Coordinate with the clinical team to minimize patient wait times and optimize the daily schedule.
Administrative & Financial Duties:
- Verify insurance eligibility prior to appointments.
- Collect co-pays, outstanding balances, and self-pay payments at check-in/check-out.
- Ensure all patient records are accurately updated and maintained in strict compliance with HIPAA regulations.
- Assist with setting up front-desk workflows and organizing office supplies as the clinic establishes its daily routines.
Qualifications:
- High school diploma or equivalent (Associate’s degree or medical administration certificate is a plus).
- Previous experience as a medical receptionist or in a healthcare front office setting is highly preferred.
- Familiarity with medical terminology, basic insurance verification, and HIPAA guidelines.
- Proficiency with EMR systems and basic office software.
- Exceptional communication and customer service skills—you must be able to handle stressful situations with grace and a smile.
- Strong organizational skills and attention to detail.
