Job Summary:
Our client in downtown Providence is seeking a detail-oriented Administrative Assistant to provide high-level administrative support. The ideal candidate will be responsible for managing correspondence, maintaining records, producing reports, coordinating communications, and handling administrative duties with confidentiality and discretion.
Key Responsibilities:
- Draft and finalize correspondence from written drafts, verbal instructions, or dictation.
- Maintain accurate records, prepare reports, and take meeting minutes.
- Manage telephonic, fax, and automated communications.
- Coordinate meetings and conferences with public officials, stakeholders, and other relevant parties.
- Handle administrative inquiries and correspondence that do not require policy interpretation.
- Review documents for accuracy, compliance, and administrative approval.
- Compose routine and specialized correspondence independently.
- Maintain both electronic and paper filing systems and generate reports as needed.
- Manage executive calendars, schedule appointments, and assist in resolving administrative issues.
- Represent the executive or administrator in assigned matters.
- Perform general office duties and clerical tasks as required.
Qualifications & Skills:
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and exercise discretion.
- Proficiency in office management and organizational tasks.
- Experience in administrative support, preferably in a government or municipality setting.
- Proficiency in Microsoft Office Suite and other administrative tools.
