ProScan Imaging is seeking a full-time, Paralegal at our corporate headquarters location in Cincinnati, OH.
General Description: Supports active litigation, claims management, and medical records/subpoena response, serving as a point of contact between outside counsel, insurance carriers, and internal business units. The ideal candidate is organized, deadline-driven, and comfortable pulling information from operational teams under time pressure. Duties include but are not limited to:
Insurance & Claims
- Manage claims from first notice through resolution.
- Collaborate in annual policy renewals and issue/maintain Certificates of Insurance.
- Maintain physician coverage schedules and administer flood insurance and workers' compensation coverage and audits.
- Assess events for carrier notice obligations and coordinate reporting to insurers and outside counsel.
Medical Records & Subpoenas
- Oversee HIPAA-compliant medical records request and release process.
- Monitor, log, and respond to subpoenas and third-party records requests.
Litigation Support
- Draft discovery responses and assemble responsive documents.
- Coordinate with business, clinical, and department leaders to gather documents, data, and factual background for discovery and case strategy.
- Conduct legal research and prepare summaries and memoranda for attorney review.
- Maintain case files, chronologies, and litigation calendars; track case deadlines.
- Issue and track litigation holds and preserve related records.
Administrative
- Process legal and insurance invoices and track spend against matter budgets.
- Manage registered agent notifications.
Qualifications
Required
- Paralegal certificate or Associate's/Bachelor's degree.
- 3-7 years of paralegal experience with meaningful litigation and discovery exposure.
- Demonstrated legal research ability (Lexis) and proficiency with Microsoft Office and document/matter management tools.
- Strong writing skills and proven ability to manage competing deadlines.
Preferred
- Healthcare regulatory or civil litigation experience.
- Familiarity with HIPAA and medical records release requirements.
- Certified Paralegal (CP) or Registered Paralegal (RP) credential; Certified Notary in the State of Ohio.
