Part-Time Commercial Lease Administration Assistant with Accounts Receivable and Accounts Payable Support
Position Overview
We are seeking a detail-oriented and organized Commercial Leasing Administration Assistant to support our Director of Property Services. This role combines administrative leasing responsibilities with Accounts Payable (AP) and Accounts Receivable (AR) assistance, making it ideal for a candidate who is comfortable working with commercial leases, financial records, tenants, vendors, and property management systems.
KEY RESPONSIBILITIES
Commercial Lease Administration
- Maintain and monitor a lease critical date tracking system, ensuring no deadlines are missed
- Coordinate with the Director of Property Services on upcoming lease expirations, tenant options, and required notice periods
- Maintain accurate and organized lease files for all properties in the portfolio
- Assist with annual CAM reconciliation by pulling lease-specific expense caps, exclusions, and pro-rata share calculations
- Support the review and execution of lease amendments, assignments, and related documents
Accounts Payable
- Process and code vendor and contractor invoices across multiple commercial properties in RealPage Commercial Accounting
- Route invoices for approval and ensure timely payment in accordance with vendor terms
- Distinguish between CAM-eligible and non-CAM-eligible expenses and code accordingly
- Maintain accurate vendor records and assist with annual 1099 preparation
- Reconcile AP aging reports and resolve discrepancies with vendors
Accounts Receivable
- Post tenant rent and other receivable payments accurately in RealPage Commercial Accounting
- Generate and distribute monthly tenant statements and billing for rent, operating expenses, and other charges
- Monitor AR aging and follow up with tenants on outstanding balances in a professional manner
- Assist with reconciling tenant accounts and resolving billing disputes
QUALIFICATIONS:
Required
- 2 years of lease administration accounts payable and / or receivable experience in commercial real estate, property management, or related environment.
- Strong attention to detail and ability to management multiple properties and vendors simultaneously
- Professional written and verbal communication skills for vendor and tenant correspondence
- Proficiency in Microsoft Office Suite Environment
Preferred
- Prior experience with RealPage Commercial Accounting, Yardi or MRI
- Experience managing lease administration for a large multi-property commercial portfolio
- Familiarity with CAM reconciliation processes and tenant audit rights
Position Details
- Part-time, in-office Bethesda, Maryland
- Hours: 25 to 30 per week — to be determined based on workflow needs
- Reports to: Director of Property Services
- Compensation: Commensurate with experience
