HOA Community Manager Assistant
We are seeking a highly organized and detail-oriented HOA Community Manager Assistant to support our management team and help ensure smooth day-to-day operations for multiple homeowners associations.
Hours: 8:00 AM – 4:30 PM
Key Responsibilities
Management Support Duties:
- Answer and field phone calls when Managers are out of the office, ensuring homeowners and Board members always reach a live, helpful contact
- Assist walk-in homeowners with various requests in the Manager’s absence
- Process mailings (copying, folding, stuffing, and postage)
- Send out bid requests and follow up on submissions
- Issue work orders as needed
- Prepare and send violation letters, hearing notices, and hearing result letters
- Manage pool keys and parking passes, including inventory and ordering
- Issue Insurance Certificates and track policy expiration dates (maintain tracking spreadsheet)
- Send Welcome Packets to new homeowners
- Maintain meeting minute books (electronic and physical copies)
- Complete weekly filing for each HOA
