Seeking a highly organized, proactive, and detail-oriented Event Operations & Logistics Coordinator to oversee the preparation, packing, and return process for all catered events. This role ensures that every event is fully equipped with the required items for buffets, food displays, rentals, and service. The position also includes managing company vehicles, maintaining inventory, handling rental pick-ups and returns, and ensuring our warehouse and equipment remain in top condition.
Key Responsibilities
• Event Packing & Preparation:
• Proactively organize and pack all items required for each event, including buffet setups, food display materials, rentals, serviceware, linens, and décor.
• Verify that event packing lists are complete and accurate prior to departure.
• Communicate with the culinary and service teams to anticipate and resolve potential issues before they arise.
• Vehicle Management:
• Maintain company vehicles, including fueling, inspections, scheduled maintenance, and cleanliness.
• Track and schedule regular servicing and repairs as needed.
• Ensure vehicles are loaded safely and efficiently for event transport.
• Rental & Equipment Coordination:
• Pick up and return rentals or equipment from local rental companies as needed.
• Ensure all rental items are returned in a timely manner, clean, and in the condition received.
• Maintain positive relationships with rental vendors and address any concerns proactively.
• Inventory & Supply Management:
• Monitor and maintain inventory of event essentials (e.g., cups, napkins, to-go boxes, serving utensils).
• Anticipate supply needs and place orders in advance to ensure readiness for upcoming events.
• Organize storage areas for optimal accessibility and cleanliness.
• Post-Event Duties:
• Oversee unloading and cleaning of all returned items after events.
• Ensure equipment, rentals, and supplies are cleaned, organized, and stored properly.
• Report and track any damaged or missing items promptly.
Qualifications
• Previous experience in catering, event operations, or warehouse logistics preferred.
• Strong organizational skills, attention to detail, and the ability to think ahead and solve problems before they occur.
• Ability to lift and move event equipment (up to 50 lbs) and work on your feet for extended periods.
• Valid driver’s license with a clean driving record.
• Reliable, punctual, and able to work flexible hours, including evenings and weekends.
• Proficient in basic inventory tracking and comfortable using packing lists.
