About Us
We are a fast-growing cleaning, restoration, and turnover services company providing high-quality service to residential and commercial properties throughout NYC and Northern NJ. We are looking for a reliable, organized, and bilingual (English/Spanish) Office Secretary to support our daily office operations and assist our management team.
Responsibilities
- Answer phone calls, emails, and client inquiries in English and Spanish
- Schedule jobs, coordinate with field technicians, and update daily calendars
- Prepare estimates, invoices, and work orders
- Maintain organized digital and paper records
- Assist with payroll preparation and timekeeping
- Support HR onboarding documentation
- Track materials, supplies, and equipment returns
- Communicate with property managers, residents, and vendors
- General office tasks: filing, scanning, data entry, follow-up calls
- Provide administrative support to the General Manager as needed
Requirements
- Fluent in English and Spanish (spoken and written)
- Prior office or administrative experience (property management, construction, or service industry preferred)
- Strong communication and customer-service skills
- Ability to multitask in a fast-paced environment
- Proficient with email, spreadsheets, Google Workspace or Microsoft Office
- Reliable, punctual, and detail-oriented
- Positive attitude and strong work ethic
