About the Role
We're hiring an Event Marketing Coordinator to plan and run the events that drive our pipeline — from our annual Prometheus Group User Conference and industry tradeshows to executive dinners and regional customer micro-events. You'll own end-to-end execution: budget, logistics, vendors, on-site activation, and post-event follow-up. Working closely with marketing, sales, and product, you'll make sure every Prometheus Group event gives customers and prospects a sharper sense of who we are and what we do.
What You'll Do
- Plan and execute internal and external events across the global portfolio — tradeshows, conferences, roadshows, and our annual Prometheus Group User Conferences.
- Manage budgets across all events; track spend and tie outcomes to pipeline impact
- Own end-to-end event logistics — registration, travel, materials, shipping, on-site show services (booth, AV, internet, power, furnishings), and pre- and post-event communications
- Plan and coordinate networking activities — happy hours, dinners, and outings — as part of the broader attendee experience
- Partner with content, design, and marketing teams on event collateral, registration pages, agendas, signage, email invitations, and promotional campaigns across HubSpot, social media, and the website
- Track event performance — leads captured, meetings booked, opportunities sourced — log post-event opportunities in Salesforce, and report status monthly to the Event Director
- Research new event opportunities to continuously grow the company's portfolio
- Serve as the internal point of contact for event communications across departments
- Support the broader marketing team (~20–25% of time) on email campaigns, content distribution, and field marketing programs
What We're Looking For
- 2–5 years of B2B marketing experience with hands-on event management or project management
- Proven ability to manage a global, multi-event calendar across shifting timelines and budgets
- Exceptional attention to detail and project management skills — able to juggle 30 moving pieces without dropping one
- Strong written and verbal communication across vendor coordination, event materials, and internal stakeholders
- Proficient in HubSpot, Salesforce, Microsoft Office, and comfortable picking up new tools quickly
- Resourceful problem-solver who stays calm and finds solutions when things go sideways on event day
- Collaborative, adaptable, and comfortable working cross-functionally in a fast-paced environment
- Willing to travel 25–35% during peak event season
- Bachelor's degree in Marketing, Communications, Business, or equivalent experience
Bonus Points
- Experience in B2B software, industrial, or asset-management sectors
- Familiarity with event platforms (HubSpot, Salesforce, Swoogo, SalesLoft)
- Comfort coordinating booth design and event creative with internal designers
- Experience supporting a user conference of 200 attendees
