The Patient Scheduler is a key member of the Patient Scheduling Office (PSO) team and plays a critical role in delivering a high-quality patient experience. This position supports multiple clinics nationwide by managing inbound calls and web-based leads, answering prospective patient questions about our products and services, and efficiently scheduling and confirming appointments. The Patient Scheduler helps optimize patient flow, ensures accurate documentation, and supports both patients and providers through timely, professional communication.
The ideal candidate is patient-focused, detail-oriented, comfortable working in a fast-paced healthcare environment, and motivated by achieving strong scheduling and conversion outcomes.
Duties and Responsibilities:
Field live inbound calls and respond to web leads with the goal of scheduling new patient appointments
Answer prospective patient questions regarding products, services, and treatment options in a clear and compassionate manner
Follow scripted conversations to qualify potential patients and build excitement around care options
Schedule, confirm, reschedule, and cancel patient appointments efficiently, with emphasis on same-day and next-day availability
Confirm appointments to maximize patient show rates and minimize scheduling gaps
Support a Five Star patient experience by addressing patient questions and concerns in a timely, professional, and welcoming manner

Schedule:
- Sunday - Thursday but can change to Mon - Friday with or without rotating Sundays); hours can range from starting as early as 7:30AM EST and ending as late as 7:00PM EST

Qualifications
Experience
Minimum of 1 year of experience in scheduling, administrative, or customer service roles, preferably in a healthcare setting
Call center experience strongly preferred
Experience with EHR/EMR systems, CRM platforms, or scheduling software preferred
Familiarity with high-volume or concierge-style healthcare environments a plus
Skills and Competencies
Excellent verbal, written, and interpersonal communication skills
Strong attention to detail and organizational skills
Ability to manage multiple priorities in a fast-paced, continuously evolving environment
Computer proficiency, including Microsoft Office Suite and superior keyboarding skills
Ability to effectively interact with physicians, patients, and internal staff
Happy, welcoming, and can-do attitude with patients and co-workers
Demonstrated compassion for patients and commitment to outstanding results
