Job Summary

The Chief of Staff serves as a strategic and operational partner to the President and CEO, creating capacity for the CEO to focus on the company’s most important priorities. This role develops a broad understanding of the business, connects themes across functions and translates complex information into clear insights, executive communications and decision ready materials. The Chief of Staff anticipates needs, coordinates priorities, advances strategic work and ensures decisions and commitments move forward.

The role combines enterprise business support with hands on executive and personal support. It requires a high degree of judgment, discretion, curiosity, initiative and comfort moving between strategic thinking and practical execution.

Responsibilities

  • Serve as a strategic extension of the President and CEO by anticipating needs, clarifying priorities and advancing work with limited direction.
  • Develop a strong understanding of Prolink’s business model, operating priorities, financial drivers, workforce and key stakeholder relationships.
  • Attend key business and leadership meetings, identify themes and dependencies across discussions and translate information into concise insights, decisions and recommended actions.
  • Prepare executive, leadership and Board presentations by defining the story, identifying required information, coordinating with content owners and improving incomplete or inconsistent inputs before CEO review.
  • Conduct research and analyze business, industry and organizational information to support executive decisions and strategic priorities.
  • Partner with leaders across the organization to obtain accurate data, resolve gaps, clarify business implications and ensure materials answer the questions likely to be asked by the CEO and other stakeholders.
  • Translate partially formed ideas into structured plans, workstreams, communications or deliverables and engage the appropriate individuals to move the work forward.
  • Coordinate selected strategic initiatives and special projects on behalf of the CEO, including establishing structure, confirming ownership, monitoring progress and escalating risks or barriers.
  • Prepare meeting agendas, briefing materials, talking points, correspondence and follow up communications for the CEO.
  • Capture decisions, commitments and action items from key meetings and proactively follow up with owners to support timely completion.
  • Manage an active and complex calendar, communications, meeting preparation, travel and commitments in alignment with the CEO’s priorities.
  • Act as a trusted liaison between the CEO and internal and external stakeholders while representing the CEO with professionalism and sound judgment.
  • Provide support for the CEO’s personal responsibilities and commitments as needed, including coordinating appointments, travel, reservations, events, expenses and other arrangements that create capacity for the CEO.
  • Manage company, client, employee and personal information with confidentiality, professionalism and discretion.
  • Perform other related duties as assigned.

Requirements

  • Bachelor's degree in business, Operations, Human Resources, Finance or a related discipline, or equivalent work experience.
  • 7 years of progressive experience in Chief of Staff, strategy, business operations, program management, executive support or a related field.
  • Demonstrated experience supporting a CEO or senior executive and independently advancing complex, ambiguous work.
  • Strong business acumen with the ability to understand financial, operational, customer and workforce information and connect implications across functions.
  • Demonstrated ability to synthesize information from multiple sources into concise executive level insights, communications and presentations.
  • Advanced presentation development and business writing skills, including the ability to shape a clear narrative rather than only format information provided by others.
  • Strong critical thinking and judgment with the confidence to ask questions, challenge incomplete information and identify risks respectfully.
  • Exceptional relationship building and influence skills with the ability to work effectively across functions and levels without direct authority.
  • Proficient with Microsoft Office 365, including PowerPoint, Excel, Word, Outlook and Teams.
  • Able to professionally manage confidential and sensitive business and personal information.
  • Able to be flexible and adaptable, meet tight deadlines and quickly pivot based on shifting priorities in a fast-paced environment.
  • High level of integrity, initiative, accountability, attention to detail, perseverance and alignment with Prolink’s values.

Preferences

  • Prior Chief of Staff experience supporting a CEO, President or other senior executive in a complex or scaling organization.
  • Experience in strategy, business operations, Human Resources, organizational effectiveness or a cross functional leadership role.
  • Experience preparing Board or senior executive presentations and working directly with functional leaders to develop the supporting story and data.
  • Experience in staffing, healthcare, professional services or another people intensive business.

Candidates with additional and relevant experience, education, licensing, or certification beyond the role’s requirements and/or specific to the nature of Prolink’s business will be given additional consideration in the candidate selection process. If all minimum requirements are met, candidates with unique and/or diverse qualifications will also be given additional consideration.
