About the Role
We are seeking a highly detail-oriented Clerical Office Assistant to support pension and disability operations within an IT-driven administrative environment. This is a fully onsite, desk-based consulting role requiring strong Excel capability and the ability to learn enterprise HR systems quickly.
This position plays a critical role in maintaining accurate records, tracking applications, and supporting internal teams responsible for pension and disability case management.
Key Responsibilities
- Open, sort, and distribute incoming mail
- Log, scan, and maintain retirement and disability applications
- Create, update, and maintain structured tracking logs in Microsoft Excel
- Maintain and monitor disability tracking logs (100 active cases)
- Track and log pension affidavits (approx. 5,000 annually)
- Follow up with applicants via email, phone, or mail regarding incomplete documentation
- Ensure all records are accurate, complete, and compliant with internal procedures
- Access, review, and update member service records within PeopleSoft
- Document findings, report discrepancies, and escalate issues when necessary
- Collaborate closely with the Disability Retirement Coordinator, Pension Management team, and Medical Board administrative staff
Critical Requirements (Must-Have Skills)
- Proficiency in Microsoft Excel (data entry, tracking logs, reconciliation, structured reporting)
- Ability to learn and navigate PeopleSoft Human Capital Management (HCM) module
- Ability to learn and use PeopleSoft to access, review, and update member service records
- Clear written and verbal communication skills to document findings and report issues
- Strong attention to detail with a commitment to data accuracy and confidentiality
- Ability to meet strict deadlines in a high-volume environment
Qualifications
- High school diploma required; Bachelor’s degree preferred
- 1–3 years of experience is a plus
- Prior exposure to HRIS systems is a plus
- Experience in a medical office or documentation-heavy environment is a plus
- Strong organizational skills and process discipline
Work Environment
- Fully onsite (not eligible for remote work)
- Desk-based administrative role
- No field work or environmental exposure
