We are seeking a detail-oriented and customer-focused HR Shared Services & Benefits Administration Analyst to support day-to-day HR operations, benefits administration, HRIS data integrity, and employee inquiries. This role will serve as the primary Tier 1 HR support contact, manage benefits and retirement plan processes, maintain HR systems such as ADP Workforce Now, and deliver accurate reporting and analytics to support HR leadership and business decisions.
The ideal candidate will bring strong experience in HR operations, employee support, benefits administration, data analysis, and HR systems management.
Key Responsibilities
1. Benefits & Retirement Plan Administration
- Monitor weekly benefit data feeds between vendors and ADP Workforce Now; identify and resolve discrepancies.
- Perform quarterly reconciliations for benefits enrollment and payroll deductions.
- Prepare employee census reports and fulfill periodic data requests.
- Compile and validate files for annual non-discrimination testing for 401(k), HSA, and FSA plans.
- Support annual Department of Labor Form 5500 reporting.
- Prepare documentation and coordinate annual 401(k) audit requirements.
- Maintain benefits process documentation, controls, and records.
2. HR Shared Services / Tier 1 Employee Support
- Serve as the first point of contact for employee HR inquiries related to policies, benefits, onboarding, HR processes, and systems.
- Manage and respond to tickets through case management tools such as Deskpro or similar platforms.
- Ensure timely, professional, and accurate resolution of employee requests.
- Escalate complex issues to HR Centers of Excellence, HR Business Partners, or leadership as needed.
- Maintain service levels, response quality, and employee satisfaction standards.
3. HRIS, Data Integrity & Process Improvement
- Support configuration, maintenance, and troubleshooting of HRIS systems including ADP Workforce Now.
- Partner with HRIS and IT teams on system enhancements, testing, upgrades, and integrations.
- Perform employee data audits, validations, and correction activities to ensure data accuracy.
- Maintain workflows, system tables, and business processes.
- Conduct periodic access reviews and security validations for HR vendors and systems.
- Validate new state setups for Workers’ Compensation compliance.
4. Reporting, Analytics & Compliance
- Develop and maintain HR dashboards, reports, and trackers using Excel, Power BI, or Tableau.
- Provide ad hoc reporting for leadership requests, audits, and operational decisions.
- Support first-paycheck-of-year audits and compensation validations.
- Produce monthly and quarterly employee engagement / rewards & recognition reports.
- Analyze HR metrics and trends to support continuous improvement initiatives.
Required Skills & Qualifications
Must Have Skills
- 3 years of experience in HR Operations, HR Shared Services, Benefits Administration, or HRIS roles.
- Hands-on experience with ADP Workforce Now.
- Experience handling employee inquiries via case management systems.
- Strong knowledge of benefits processes including 401(k), HSA, FSA, payroll deductions, and reconciliations.
- Advanced Microsoft Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, formulas, reporting).
- Strong customer service, communication, and problem-solving skills.
- High attention to detail with strong data accuracy mindset.
