We are seeking a dependable, organized, and professional Office Assistant to provide administrative support to the Human Resources department and assist with day-to-day office operations.
This position supports employee records, recruitment, onboarding, scheduling, communications, outreach activities, and special projects. Because the role has access to confidential employee and organizational information, discretion, integrity, and professionalism are essential.
Essential Duties & Responsibilities
- Provide administrative support to the Human Resources Manager and leadership.
- Answer phones, manage correspondence, schedule meetings, maintain files, and assist with office organization.
- Support HR functions including employee records, recruitment, job postings, onboarding, new-hire orientation, benefits administration, data entry, and reporting.
- Maintain confidential HR documents and employee information with strict discretion.
- Prepare documents, reports, meeting materials, and other communications.
- Transcribe meeting minutes and maintain records in SharePoint.
- Coordinate scheduling, travel arrangements, meetings, communications, and special events.
- Assist with outreach activities, events, and communications as needed.
- Communicate professionally with employees, community partners, vendors, insurance companies, EAPs, and professional referral sources.
- Maintain office supplies, administrative common areas, and the organization's Wall of Honor.
- Work with contracted vendors and partners on assigned projects.
- Perform other duties as assigned by the Human Resources Manager.
Qualifications
- High school diploma or equivalent required; post-secondary administrative or related training preferred.
- Previous administrative or office support experience preferred.
- Strong organizational skills with the ability to manage multiple priorities.
- Proficiency with Microsoft Office, including Word, Excel, and PowerPoint; experience with Adobe and SharePoint is beneficial.
- Excellent written, verbal, and interpersonal communication skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential and sensitive information with integrity and discretion.
- Professional, dependable, and comfortable communicating with employees, leadership, community partners, and the public.
- Ability to travel approximately 30–40% as needed.
Pay: $18.12 - $22.00 per hour
Expected hours: 20.0 per week
