Project TEACH is seeking a dedicated and detail-oriented Administrative Assistant to join our program. This is a hybrid position, allowing you to work from home with required, but flexible, in-office time. In this role, you will provide administrative support in various tasks, ensuring smooth daily operations, documentation and data support. This position is perfect for someone who is organized, proactive, and enjoys supporting a team through administrative functions.
Responsibilities:
- Administrative Support to Project Leadership: Work closely with the Director and program leadership to capture action items, follow-up on reporting requests and complete administrative tasks that arise during daily operations and meetings.
- Support of Files and Documents: Assist in organizing and maintaining files and documents to ensure accuracy and ease of digital access.
- Coordination and Disbursement of Program Material: Support the creation and distribution of digital and printed materials, ensuring materials are up-to-date and distributed on time.
- Data and Reporting Support: Perform high-volume, accurate data entry into program systems and assist with the program’s reporting requirements.
- Meeting Support: Coordinate and schedule meetings and logistics, create meeting notes and provide proper follow-up and documentation after meetings.
Required Skills & Qualifications:
- Proficiency in Microsoft Office Suite (especially Outlook, Excel, Word, and PowerPoint).
- Comfort learning and using new technology, i.e. program-specific database and software systems.
- Experience with Zoom virtual meeting platform.
- Proven experience with data entry and administrative support.
- Strong communication skills, both verbal and written.
- A team player with a positive attitude.
- Ability to multi-task, manage and prioritize large amounts of information effectively.
- Excellent organizational skills and attention to detail.
Preferred Skills:
- 2 years of experience in an administrative support role and/or an associates degree in business administration, data management or other related field.
- Experience with Google-driven platforms: Workspace, Forms, Docs and Sheets.
- Familiar with Adobe Acrobat and PDF document tools for business.
- Understanding of mental health programs and/or grant-funded organizations.
