Job Overview
We are seeking a dynamic and organized Operations Assistant to join our team and help keep our office running smoothly and efficiently. This individual will work in our Community Transition Center in Poughkeepsie, NY. Working with our alternative sentencing clients, the Operations Assistant will complete office task, act as a receptionist and be a key part of the CTC team. The Operations Assistant will be working 24 hours a week. The job pays $17.14 per hour.
Alternative sentencing seeks to provide a wide range of options for offenders, with the goal of rehabilitating them and reducing recidivism rates.
This role is vital in supporting daily administrative operations, working with Case Managers and Program Directors, managing front desk responsibilities, and ensuring excellent customer service. This individual will schedule individuals, set charts and receive intake.
The ideal candidate will be energetic, detail-oriented, and possess strong organizational skills to handle a variety of clerical and office management tasks. Duties
- Greet visitors, clients, and staff with professionalism and friendly demeanor at the front desk
- Manage multi-line phone systems, answer inquiries, and direct calls appropriately using proper phone etiquette
- Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
- Schedule appointments, manage calendars, and coordinate meetings for staff or executives
- Keep records, work with charts and receive intake.
- Support office management activities including supply inventory, order processing, and organization of office spaces
- Provide customer support by addressing inquiries via phone or email promptly and professionally
- Proofread documents for accuracy and clarity before distribution or submission
- Handle clerical duties such as photocopying, scanning, mailing, and maintaining filing systems
Qualifications
- High school diploma or equivalent (Associate's degree preferred)
- Proven experience in an office environment with strong clerical skills and familiarity with administrative tasks
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills including phone etiquette; bilingual abilities are a plus
- Demonstrated ability to manage multi-line phone systems efficiently
- Previous experience as a receptionist or personal assistant is preferred; dental or medical receptionist experience is a bonus
- Ability to type quickly with high accuracy; attention to detail is essential
- Knowledge of office management procedures and customer service best practices
