Position Summary

Under the direct supervision of the Supply Chain Coordinator, the Supply Chain Assistant provides day-to-day operational and administrative support across the various subsectors of Project HOPE’s supply chain function in Gaza, including procurement, warehousing, Gifts-in-Kind (GIK), fleet, and assets management. The Supply Chain Assistant supports the processing of documentation, follows up on routine tasks, and maintains and updates the trackers of each subsector, ensuring accurate records and timely reporting in full compliance with Project HOPE policies, donor regulations, and international standards.

PRINCIPAL RESPONSIBILITIES:  

  • Assist the Procurement team in receiving and logging purchase requests, collecting quotations, and preparing bid comparison sheets and supporting documentation.
  • Follow up on the status of ongoing purchase orders and deliveries, and maintain the procurement tracker up to date, escalating delays or issues to the relevant focal point.
  • Support the Warehouse & GIK team in documenting receipts and dispatches, including goods received notes (GRNs), waybills, and Gifts-in-Kind (GIK) donation documentation.
  • Assist in updating the warehouse, inventory, and GIK trackers, and support periodic physical counts and stock reconciliations.
  • Support day-to-day fleet operations by maintaining vehicle movement logs, fuel consumption records, and the fleet tracker under the guidance of the Fleet & Assets Lead.
  • Assist in coordinating routine transportation requests and the timely delivery of supplies to designated locations and health facilities.
  • Support the maintenance of the asset register, including asset tagging, recording of asset movements and assignments, and periodic physical verification exercises.
  • Maintain and regularly update the trackers of all supply chain subsectors (procurement, warehouse, GIK, fleet, premises and assets), ensuring data accuracy and timely submission to sector leads.
  • Support the maintenance of complete, accurate, and audit-ready supply chain records and filing systems, ensuring proper documentation in both hard and electronic formats.
  • Support transparency, fairness, cost-effectiveness, and value for money in all supply chain activities, in compliance with Project HOPE and donor standards.
  • Other duties as assigned.

Minimum Qualifications

  • Diploma degree in Business Administration, Supply Chain Management, Logistics, or a related field.
  • Minimum of one (1) year of relevant experience in procurement, logistics, or supply chain support, preferably with an NGO or international organization.
  • Good understanding of procurement principles, documentation, and record keeping.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Good written and spoken communication skills in both Arabic and English.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks under pressure and tight deadlines.
  • High level of integrity and commitment to transparency and accountability.

Preferred Qualifications

  • Previous experience with international NGOs or humanitarian organizations operating in emergency contexts.
  • Familiarity with donor procurement and compliance requirements (e.g., USAID, BHA, UN agencies).
  • Experience using ERP, inventory management, or procurement tracking systems.
  • Knowledge of humanitarian supply chain operations and coordination mechanisms in Gaza.

Work Environment

  • Typical office environment with exposure to a minimal noise level.
  • Emergency deployments may be in resource-deprived environments with austere living conditions.
  • Travel for extended periods may be by air and/or other modes of transportation.
  • While international travel is not a regular part of every job, programmatic needs may require it intermittently.
  • Project HOPE employees may be required to travel or work in countries where working conditions are classified as “hardship.”
