Job Summary
Project 1 Developments is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Chief Executive Officer. This role is critical to the success of daily operations, acting as the right hand to the CEO by managing schedules, communications, and assisting with both administrative and project-related responsibilities.
The ideal candidate is professional, resourceful, and thrives in a fast-paced construction environment. This position requires strong communication skills, the ability to anticipate needs, and a high level of discretion when handling sensitive information. Prior experience in a construction office or similar setting is strongly preferred.
Duties and Responsibilities:
- Manage and coordinate the CEO’s daily schedule, including meetings, calls, site visits, and travel
- Act as a gatekeeper and primary point of contact on behalf of the CEO for clients, vendors, and subcontractors
- Monitor and respond to emails, calls, and messages, ensuring timely follow-up and proper delegation
- Assist in preparing and organizing contracts, proposals, bids, and other business documents
- Coordinate meetings, take notes, and track action items to ensure follow-through
- Support project coordination efforts, including tracking timelines, change orders, and job updates
- Assist with invoicing, billing, and expense tracking, ensuring accuracy and timely submission
- Maintain organized digital and physical filing systems for company and project documentation
- Coordinate communication between field teams, subcontractors, vendors, and clients to ensure smooth operations
- Assist with procurement of materials and coordination with suppliers as needed
- Run occasional business-related errands and assist with day-to-day operational needs
- Support hiring efforts, onboarding, and internal team communication as needed
- Handle confidential information with professionalism and discretion
- Anticipate the needs of the CEO and proactively solve problems to improve efficiency
Job Type: Full-time
Pay: $30,000.00 - $50,000.00 per year
Schedule:
- 8-hour shift
- Monday to Friday
