Malvern Behavioral Health and Malvern Treatment Centers is currently seeking a full-time Assistant Director of Admissions for our Ford Road location. Malvern's Ford Road campus is located at 3905 W. Ford Road Philadelphia, PA 19131. The Assistant Director of Admissions position is full-time, 40 hour a week opportunity working Monday - Friday from 11:00am - 7:30pm. This position does require some weekend on-call responsibilities. The Assistant Director of Admissions position is a Director level position offering a competitive salary and a comprehensive benefits package.
Position Summary:. Answers admissions inquiries and facilitates admissions process to the appropriate site for intake. Assists in directing admissions coordinators and admissions supervisor.
Summary of Essential Position Functions:

Recruits, interviews and assists in the selection of new staff. Evaluates all staff to ensure their meeting department and program standards. Orients new staff and provides training as needed.

Supports call center success by overseeing correct data entry into software systems i.e. emails, phone numbers, mailing address etc.

Provides oversight and support to the daily to the Patient Access Liaison

Conduct staff meetings and hold regular one-on-one supervision sessions with team members.

Participate in rotating on-call responsibilities in collaboration with the Director of Admissions.

Complete ASAM certification requirements.

Conduct face-to-face and phone-based level-of-care assessments.

Respond to patient codes.

Attends Leadership Meetings

Communicates difficult cases with intake department to ensure patient care is adhered to.

Oversees staff dialogue with potential patients and families to maximize customer service excellence.

Working knowledge of DDAP requirements in regards to admissions.

Receives inbound calls from prospective clients. During downtime makes follow-up calls to prior patients and potential admissions sources.

If patient cannot be admitted, facilitates referral to more appropriate facility.

Follows up with referral sources to maintain a positive relationship. Maintains working knowledge of key referral sources.

Advises Administrator if referral source has a complaint.

Provides excellent customer service to patients and families.

Verifies insurance benefits to make sure plan is active and has no termination date showing in the immediate future, as well as verifies any financial obligations such as deductibles, co-insurance, and co-pays that the patient would be responsible for.

Communicates with Director on admissions that need payment plans.

Explains the insurance benefits and out of pocket costs associated with treatment. Educates patient and their family in regards to financial obligations. Collects necessary payment and gets financial paperwork signed by payer.

Communicates clearly with all departments notifying intake at respective sites for tentative and confirmed admissions times. Communicates with nursing if the patient has medical or mental health issues that need to be reviewed for admission.

Completes all demographic, usages, medical history, treatment history, living situation, legal, insurance policy questions (who the subscriber for the plan is: date of birth, address, phone number, where they worked and for how long). Once pre-admit is finished confirms a time for admission.

Coordinates transportation for patients needing to be picked up to arrange a time that works for the patient.

If patient is a prior patient, checks billing system for prior balances. Explains prior balances to patient and tries to collect payment toward balance.

Certifies census on daily basis.

Prior to admission makes sure all pre-assessment questions are completed, financial paperwork is either signed or arranged to be signed; payment is either received or scheduled to be received; and patient is approved. Ensures that intake, nursing, and clinical aides are made aware of admission date and time and has all the necessary paperwork for treatment provided

Participates in continuing education (in- services & other trainings) to reach professional growth.

Performs other duties as assigned. (i.e. answering phones for receptionist, doing final chart checks, etc.)

Education and/or Experience: Masters degree required. Previous supervisory experience required and previous experience in an Admissions department is preferred.

Physical Requirements: Sedentary work – lifting 10 lbs. maximum and occasionally lifting and/or carrying such articles as patient charts, binders, letters, and small tools. Involves sitting and a certain amount of walking and standing occasionally to carry out job duties. Communication is required. Talking, expressing or exchanging ideas by means of the spoken word, and hearing, perceiving the nature of sounds by the ear, is required.
