Key Job Elements
- Maintains confidentiality of personal and employment data;
- Validate and process employment record updates in PeopleSoft (including hires, transfers, promotions, supervisor changes, and separations), ensuring all requests have proper approvals in accordance with the authority matrix.
- Monitor and follow up on requests that are incomplete or pending additional approvals to ensure timely resolution;
- Support the recruitment/hiring process by performing Kenexa activities such as onboarding and updating new hire records;
- Conduct audits to ensure accuracy and maintain data integrity.
- Create and run system queries to extract, analyze and share data.
- Review and distribute weekly reports
- Suggest and implement process improvements to enhance efficiency and streamline operations
- Support employees by responding to and resolving inquiries promptly and professionally.
- Provide customer service and training to support HR Facility Reps, Facility Management and Corporate HR
- Monitor and maintain shared inboxes, assigning emails or responding as necessary.
- Provide support to external vendors such as Equifax, The Work Number, Kenexa, and eRailSafe, ensuring accurate data exchange and issue resolution.
- Interface with cross-functional departments, including IT, Payroll, Accounting, and Legal, to support business processes.
- Assist with complex projects with challenging deadlines, including establishing project schedules, setting priorities, testing, and implementing system changes
- Ensure proper recording, approval, filing, and disposal of documents received in accordance with established guidelines and compliance requirements
- Create and maintain process documentation to support business continuity and ensure consistent operational practices
- New facility, acquisition and divestiture support;
- Ensure compliance with HR requirements related to the Authority Matrix, I-9 verification, and company policies;
- Perform other HR tasks and special projects as assigned.
High School Diploma; required. Some college; Human Resources or related field of study preferred;
Qualifications And Experience
- Minimum of 2 years of experience in a Human Resources function;
- Experience with HRIS systems (PeopleSoft preferred);
- Experience in processing a high-volume of confidential personnel records for accuracy and completeness and tracking missing information for quality assurance;
- Strong ability to multi-task;
- Strong computer skills to include Microsoft Office Suite and related software;
- Strong interpersonal skills and ability to work with individuals at all levels;
- Sound judgement and confidentiality.
- Excellent organizational skills and attention to detail;
- Highly organized and efficient; skilled at multi-tasking;
- Ability to maintain a high level of confidentiality;
- Demonstrated self-starter and able to work independently in a fast-paced environment with minimal supervision.
