HR Specialist

Job Purpose

To provide HR Support to employees, HR Facility Representatives, Facility Management and Corporate HR. This position will be responsible for assisting in the administration, support and implementation of HR software and programs used by Progress Rail. This position will also be responsible for assisting with employee data in PeopleSoft and Rail People including, but not limited to, employee updates, audits and reporting. This role will work closely with all areas of the organization.

Key Job Elements

• Support HR systems, maintain employment records and ensure proper approvals for all transactions related to hires, transfers, promotions, supervisor changes, separations, etc.
• Responsible for maintaining AskHR Inbox and primary point of contact for employee and candidate support.
• Create communication materials to educate the HR team, employees and managers about company programs and procedures.
• Responsible for creating and delivering various training to the HR team.
• Build and run system reports such as manpower reports and reports on HR activity, using Microsoft Excel to summarize the data in an easy to view and understand format.
• Provide vendor support and process updates needed in the systems for Credence BCBS, VSP, Unum, MetLife, Optum Financial, eRailSafe, Equifax, Kenexa, The Work Number, TALX, etc.
• Conduct HRIS and benefit audits to maintain data integrity.
• Maintain confidentiality of personal and employment data.
• Provide customer service support to HR Facility Reps, Facility Management and Corporate HR.
• Create and maintain process documents for areas of responsibility.
• Maintain HR SharePoint pages and permissions.
• New facility and acquisition support.
• Scans documents into the appropriate employee HR folder.
• Ensure proper recording, approval, and filing/disposal of all documents received in accordance with established policies and procedural guidelines.
• Interface with other departments, including IT, Payroll and Accounting.
• Perform other HR tasks and special projects as assigned.
  
  
  

Education / Training

• High School or GED equivalent. Associate or Bachelor’s degree in human resources or related field.
• SHRM-CP or SHRM-SCP preferred.
  
  
  

Qualifications And Experience

• Demonstrated strong verbal and communication skills.
• Demonstrated ability to maintain a high level of confidentiality.
• Excellent active listening and presentation skills.
• Good computer problem solving skills, working knowledge of Microsoft Office.
• Ability to think analytically and solve problems.
• Demonstrated ability to compose, type and proof materials, establish priorities, and meet deadlines.
• Demonstrated ability to be a self-starter, work independently, multi-task in a fast-paced environment with minimal supervision.
• Demonstrated ability to work positively in a team environment providing customer service tasks.
• Preferred:
• 1 – 3 years HR experience.
• Data entry experience (PeopleSoft or SAGE preferred).
• Experience with HR/Employment procedures preferred.
• Proficient in Microsoft Office Suite and related software with strong Excel skills.
